Job summary

MBIE is seeking a Business Change Portfolio Coordinator in Wellington CBD to support the TWSD portfolio and CDI branch. You will coordinate meetings, improve tools, and maintain a clear view of all initiatives, driving collaboration and continuous improvement.

The role requires strong planning, analytical, and communication skills, with a focus on stakeholder engagement and adaptable, proactive behaviour in a large public sector environment.

Qualifications

  • Strong analysis and planning skills with ability to coordinate large portfolios.
  • Experience building stakeholder relationships across levels and functions.
  • Ability to adapt to changing priorities and ambiguity while delivering results.
  • Experience using business workflow systems and Office tools including SharePoint and Excel.
  • NZ citizenship or permanent residency is required.

Responsibilities

  • Plan, schedule, and support portfolio and programme meetings and activities.
  • Prepare recommendations and papers for governance groups.
  • Manage constructive relationships with colleagues and external stakeholders.
  • Maintain an accurate, accessible view of all portfolio and programme related initiatives (in-flight, pipeline, intentions and deferred).
  • Maintain tools and registers for lessons learnt and retrospectives.
  • Foster a high-performing, collaborative team culture.
  • Provide support for business change processes, tools, and templates.

About the Role - Tēnei tūranga:

As the Business Change Portfolio Coordinator, you will play a pivotal role in supporting the Te Whakatairanga Service Delivery (TWSD) portfolio. You'll coordinate portfolio activities, drive continuous improvement of systems and tools, and support both the TWSD group and the Customer, Design and Innovation (CDI) branch.

A key focus is raising awareness and building understanding of the group portfolio with participants and stakeholders.

Key Responsibilities:
  • Plan, schedule, and support portfolio and programme meetings and activities.

  • Experience in portfolio coordination in large organisations (preferred).
  • Relevant tertiary qualification or equivalent experience.
  • NZ citizenship or Permanent Resident Visa.
