Job summary

Citycare Water in Thames is seeking an experienced Administrator & Scheduler to join our team. You will plan and schedule work orders, maintain data and assist with invoicing, procurement and reporting to support smooth operations.

The role requires at least 2 years’ experience or NZ qualifications, proficiency in Microsoft Office, and strong written and interpersonal skills. A proactive approach will help our field teams and managers keep services on track.

Qualifications

  • Minimum 2 years’ experience and/or relevant qualifications (NZ Cert or equivalent).
  • Proficient in Microsoft Office and confident with digital tools and systems.
  • Strong reporting skills with clear, accurate outputs.
  • Highly accurate and reliable, with on-time task delivery.
  • Excellent interpersonal and written communication skills.

Responsibilities

  • Plan and schedule work orders to meet contract requirements and maximise productivity.
  • Maintain accurate job data, documentation, and financial records for invoicing and claims.
  • Coordinate rounds planning and assist process improvements for efficient service delivery.
  • Provide administrative support including payroll input, procurement and reporting.
  • Collaborate with field teams and managers to resolve scheduling challenges.

About the job:

We’re looking for an experienced Administrator & Scheduler to join our team in Thames.

The role involves:
  • Plan and schedule work orders to meet contract requirements while maximising productivity and minimising downtime.
  • Maintain accurate job data, documentation, and financial records to support timely invoicing and monthly claims.
  • Coordinate rounds planning and assist with process improvements to ensure efficient delivery of services.
  • Provide general administrative support including payroll input, procurement, reporting, and record management.
  • Work closely with field teams and managers to resolve scheduling challenges and keep operations running smoothly.
What you’ll need:
  • Minimum of 2 years’ experience and/or relevant qualifications (NCEA Level 3 or equivalent NZ Certificate).
  • Proficient in Microsoft Office and confident using digital tools and business systems.
  • Strong reporting skills with the ability to prepare clear and accurate reports.
  • Highly accurate and reliable, ensuring tasks are completed on time and to a high standard.
  • Excellent interpersonal skills with the ability to build and maintain strong relationships with clients and colleagues.
  • Proactive and self-motivated, with a focus on anticipating needs and providing support before issues arise.
  • Strong written communication skills, with the ability to produce clear and accurate documents.
