Job summary

Adelante Caplenco seeks a proactive backoffice professional to handle sales orders, contracts, and quality documentation from its Reeuwijk office. You will integrate order processing with quality improvements, working closely with the commercial team and quality lead.

You will contribute to ongoing process improvements, automation, and cross‑functional collaboration while maintaining accuracy in contracts and records. A hybrid work approach with travel in the Netherlands is possible.

Qualifications

• A secondary vocational or higher professional level of thinking.
• Accurate and organised, because a decimal point in a contract matters.
• Good command of Dutch and English; German, French or Spanish is a welcome bonus.
• Experience in export, logistics or the food trade is an advantage, not a requirement.
• You enjoy being the reliable link between several parties.

Responsibilities

• Backoffice and order handling: draw up, process and settle sales orders and contracts; ensure orders land correctly in the systems; monitor progress and flag bottlenecks; support the commercial team.
• Quality and certification: manage quality system (IFS Broker) with the quality lead; update procedures and registrations; support audits; collect certificates and supplier declarations.
• Process improvement: work on projects to streamline administration; identify automation and standardisation opportunities; support rollout of new systems and digital tools; collaborate between sales, backoffice and quality.
• You take initiative, own your work and grow with the organisation.

About the role

In this varied role you combine sales support and order handling with work on quality and process improvement. You work closely with your colleagues and get real room to think along about how we can keep improving the organisation.

Backoffice and order handling

• Draw up, process and settle sales orders, agency contracts and the paperwork that goes with them
• Make sure orders and information land in our systems correctly, completely and on time
• Keep an eye on order progress and flag deviations or bottlenecks to the commercial team early
• Support the commercial team day to day, and help turn the opportunities you spot into business

Quality and certification

• Manage and develop our quality system, including IFS Broker, together with our quality lead
• Draw up, update and manage procedures, work instructions, registrations and other quality documentation
• Support internal and external audits and follow up on the points they raise
• Collect, check and manage product specifications, certificates and supplier declarations

Process improvement

• Work on projects that make our organisation and administration run more smoothly
• Spot chances for automation and standardisation, and help turn them into practical solutions
• Support the roll-out of new systems, ways of working and digital tools
• Think along about how sales, backoffice and quality can work together even better

What we offer

• A salary in line with the market, for 32 to 40 hours a week
• Travel allowance of € 0.25 per kilometre (net)
• An excellent pension scheme: the total premium is 25.7%, of which the employer pays 17.13% and 8.57% is for your account
• 8% holiday pay, paid out in May together with your salary
• 25 days of holiday per year on a full-time basis (20 statutory and 5 extra)
• Our office in Reeuwijk as your base, working from home in consultation with your colleagues
