JLL is seeking a Receptionist to join the site-based Facilities Management team in Amsterdam. You will be the first point of contact for staff, contractors and visitors, greeting them and directing them to events and meetings in a fast-paced environment.

The role requires excellent communication, strong organizational skills and proficiency in Word, Excel and PowerPoint. Flexibility in working hours and a customer-focused mindset are essential to succeed.

Qualifications

  • Knowledge of IT Microsoft applications i.e. Word, Excel, PowerPoint.
  • Ability to plan and prioritize.
  • Strong organizational skills with records management ability.
  • Deliver excellent customer service with attention to detail and communication skills.
  • Understanding of FM operation and management of services.
  • Flexibility may be required within working hours.

Responsibilities

  • Meet & greet all entrants in a warm, professional manner.
  • Answer main incoming phone line and direct calls internally.
  • Maintain confidentiality of communications and documentation.
  • Assist with training existing staff and new hires.
  • Coordinate internal meetings.
  • Record data for guests and contractors attending site.
  • Perform general office duties as assigned by Management.
  • Support building tours for VIP guests to site.

Role Purpose

The Receptionist will work as part of the site based Facilities Management team acting as the first point of contact for all staff, contractors and visitors attending site welcoming them to the site and assisting in checking them in/directing them to events/meetings etc. This role would be ideal for an individual with front of house management experience looking for the next step in their career in a fast paced, customer facing environment which is going through rapid expansion.

What This Job Involves
  • Meet & greet all those entering the building in a warm, professional and polite manner
  • Answer main incoming phone line and direct calls internally where possible
  • Maintain confidentiality of all appropriate communications and documentation
  • Assist with training existing staff and new hires.
  • Coordinate internal meetings
  • Record and enter data for guests / contractors attending site
  • General office duties and other tasks as assigned by Management.
  • Support building tours for VIP guests to site
Client and Customer Satisfaction:
  • Service Quality and Delivery – did we deliver what we promised on time with minimal impact on business continuity
  • Good communication – responsive to the requirements and changes
  • Deliver ‘best in class’ Customer Service and Satisfaction.
  • All building users’ needs to recognize them as the specialist for FM services in that building
  • Embrace and utilize technology to capture and facilitate improvements.
  • Develop and maintain excellent client relationship based on open and honest communication
  • Maintain regular contact with Office Manager, consult on key decisions and advise of incidents, escalation and complaints
