What will you do as Project Administrator?

The Project Administrator is responsible for maintaining accurate financial records, ensuring proper coding and classification of transactions, and providing guidance to have accurate and relevant data for internal and external financial reporting processes. The PA will also support the daily monitoring of the accounting transactions of the grants and ensure that accounting practices align with grant requirements.

  • Ensures that all expenses are accurately categorized and coded in accordance with the accounting codes and cost centers provided by Control.
  • Conducts regular reviews of financial data in the accounting system to verify accuracy, consistency, and relevance.
  • Monitors the integrity of expense allocation and recommend improvements where needed.
  • Monitors incoming and outgoing payments to ensure alignment with approved budgets and financial procedures.
  • Recommend improvements to expense allocation and financial documentation practices.
  • Determines the financial and accounting structure of the projects for internal and external financial compliance.
  • Assists in the financial reconciliation of finalized projects for closure.
  • Ensures adherence to internal financial policies and donor‑specific requirements.
  • Supports internal and external audits, including donor‑specific audits in any requests related to the accounting system.
  • Provides guidance to staff on basic financial procedures and coding practices.
  • Contributes to the continuous improvement of internal financial processes.

What's on your resume?
  • Bachelor’s degree in accounting, Finance, or related field (CPA or equivalent certification preferred).
  • A minimum of 2 years of proven relevant accounting experience, preferably within a donor‑funded environment.
  • Solid knowledge of accounting principles and financial reporting.
  • Familiarity with donor compliance requirements (e.g., Dutch Funding mechanisms, EU, UN, foundations).
  • Proficiency in accounting software (e.g., QuickBooks, Oracle, SAP) and Microsoft Excel.
  • High level of accuracy, with strong analytical, problem‑solving, and organizational skills.
  • Excellent command of Dutch and English language both spoken and written.
  • You are entitled to work in the Netherlands.

  • Salary of course. We follow the salary scales of the government on the basis of a 36‑hour working week. This position is classified according to salary scale 8 (minimum €3246,16 and maximum €4340,57).
  • Your travel costs based on public transport will be fully reimbursed; you will receive an NS business card for this. We attach great importance to the climate and do not offer mileage reimbursement for motorized commuting.
  • Annually 5 vacation weeks based on a 36‑hours working week.
