Job summary

AIT Worldwide Logistics in the Netherlands is seeking an Operations Agent Air to coordinate and execute international air freight shipments end to end. You will handle quotations, scheduling, documentation, tracking and billing in line with SOPs, KPIs and regulatory requirements.

Day-to-day you will work with customers, partners and internal teams to ensure on-time performance, accurate data, and compliant handling of Dangerous Goods and security requirements while maintaining a safe work

Qualifications

• Minimum 2 years of experience as an Air Freight Forwarder.
• Fluent in English and Dutch, written and spoken.
• Strong PC skills (MS Office) and CargoWise experience preferred.
• ITAR, Dangerous Goods or TSA regulations experience.
• VGB security clearance or the ability to obtain it.
• Able to work in a fast-paced, high-volume environment.

Responsibilities

• Coordinate and execute international air freight shipments end to end.
• Prepare profitable quotations with accuracy.
• Set shipping schedules and communicate with customers, deliverers, and ports to confirm loading, departures, and arrivals.
• Coordinate day-to-day import of products, reviewing orders and documents.
• Track delays, damages, and issues; resolve them with customers.
• Manage all aspects of air international operations including customer service, data entry, operations and billing.
• Track shipments to ensure on-time movement and update systems in real time.
• Coordinate recovery/delivery schedules with cartage agents and international partners.
• Collaborate with local sales teams to communicate issues to customers and partners.
• Ensure compliance with SOPs, regulations and company guidelines.

Overview

As Operations Agent Air, you will coordinate and execute international air freight shipments end to end, ensuring customer requirements are met through accurate quotations, scheduling, documentation, tracking, and billing in line with SOPs, KPIs, and regulatory requirements. You will proactively manage shipment status and exceptions, collaborate with customers, partners, and internal teams, and ensure full compliance with safety, security, and Dangerous Goods regulations while contributing to a safe work environment.

Responsibilities

• Work with customers to qualify their shipping requirements and obtain all details (regulations, certificates, documentation) necessary for shipment quotation and operating to ensure the customer’s request is satisfied
• Prepare profitable quotations accurately
• Set shipping schedules and communicate with customers, deliverers, and ports to verify loading, departures, and arrivals in a timely manner
• Coordinate the day-to-day import of products, including reviewing orders and documents
• Track and communicate all delays, damages, problems and work to resolve customer issues.
• Responsible for all aspects of air international operations such as customer service, data entry of shipments, operations and billing
• Manage all aspects of tracking shipments to ensure shipment is moving as scheduled and update system immediately upon verification. Identify and rectify if a shipment has deviated from its schedule
• Coordinate recovery/delivery schedules with various cartage agents and international partners
• Partner with local sales teams to communicate problems to customers, international partners, and other stations, as needed
• Ensure all customers’ SOP instructions are adhered to and AIT KPIs and guidelines are followed and met
• Ensure all shipments are properly billed within company guidelines and timelines
• Process and comply with all requirements listed by regulatory agencies
• Network with corresponding departments to ensure files are billed and posted prior to end of month
• Execute all Dangerous Goods shipments in compliance with all applicable laws and regulations (as applicable)
• Contribute actively to a healthy and secure work environment by reporting unsafe/ unsecure/ unhealthy conditions and possible improvements

Qualifications

• min. 2 years of experience as a Air Freight Forwarder
• Utilizes established procedures but decides action within task
• Must be able to perform in a fast pace / high volume work environment
• Attention to detail
• Problem Solving
• Fluent oral and written English and Dutch is a must
• Strong PC skills (Windows, Microsoft Office applications) preferred
• Cargo Wise Software experience a plus
• ITAR, Dangerous Goods or TSA work experience / regulations

• VGB security clearance (or the ability to obtain it) is required for this position
