Job summary

AIT Worldwide Logistics in Hoofddorp, Netherlands, seeks an Operations Agent (Road) to coordinate day-to-day import/export shipments within the Ship Spares Division. You will work on road transport, qualify customer needs, and prepare profitable quotations while ensuring on-time loading and regulatory compliance.

You will interact with customers, carriers, and ports, manage schedules, track shipments, and resolve issues to maintain service quality and KPI targets.

Qualifications

• min. 2 years of experience as an Air Freight Forwarder.
• Able to perform in a fast-paced, high-volume work environment.
• Excellent attention to detail and strong problem-solving abilities.
• Fluent in English and Dutch (spoken and written).
• Strong PC skills (Windows, MS Office) and experience with CargoWise.
• ITAR, Dangerous Goods or TSA regulations experience.
• VGB security clearance or ability to obtain it.

Responsibilities

• Coordinate day-to-day import/export shipments via road within the Ship Spares Division.
• Qualify customer requirements and gather all documents for quotations.
• Prepare profitable quotations accurately and set shipping schedules.
• Communicate with customers, carriers, and ports to confirm loading, departures, and arrivals.
• Track shipments and resolve delays, damages, or issues promptly.
• Handle data entry, customer service, operations and billing for air international shipments.
• Ensure shipments are billed in line with company guidelines and timelines.
• Adhere to regulatory requirements and maintain SOP compliance.

Overview

The Operations Agent Road is responsible for coordinating the day-to-day import/export of (international) freight forwarding shipments through road transportation based upon customer requests within the Ship Spares Division.

Responsibilities

• Work with customers to qualify their shipping requirements and obtain all details (regulations, certificates, documentation) necessary for shipment quotation and operating to ensure the customer’s request is satisfied
• Prepare profitable quotations accurately
• Set shipping schedules and communicate with customers, deliverers, and ports to verify loading, departures, and arrivals in a timely manner
• Coordinate the day-to-day import and/or export of products, including reviewing orders and documents
• Track and communicate all delays, damages, problems and work to resolve customer issues.
• Responsible for all aspects of air international operations such as customer service, data entry of shipments, operations and billing
• Manage all aspects of tracking shipments to ensure shipment is moving as scheduled and update system immediately upon verification. Identify and rectify if a shipment has deviated from its schedule
• Coordinate recovery/delivery schedules with various cartage agents and international partners
• Partner with local sales teams to communicate problems to customers, international partners, and other stations, as needed
• Ensure all customers’ SOP instructions are adhered to and AIT KPIs and guidelines are followed and met
• Ensure all shipments are properly billed within company guidelines and timelines
• Process and comply with all requirements listed by regulatory agencies
• Network with corresponding departments to ensure files are billed and posted prior to end of month
• Execute all Dangerous Goods shipments in compliance with all applicable laws and regulations (as applicable)
• Contribute actively to a healthy and secure work environment by reporting unsafe/ unsecure/ unhealthy conditions and possible improvements

Qualifications

• min. 2 years of experience as a Air Freight Forwarder
• Utilizes established procedures but decides action within task
• Must be able to perform in a fast pace / high volume work environment
• Attention to detail
• Problem Solving
• Fluent oral and written English and Dutch is a must
• Strong PC skills (Windows, Microsoft Office applications) preferred
• Cargo Wise Software experience a plus
• ITAR, Dangerous Goods or TSA work experience / regulations

• VGB security clearance (or the ability to obtain it) is required for this position
