Job summary

Tradie VA is seeking an experienced leader to guide the Australian VA team, serving as the go-to expert for JackApp and JobTread to support builders and contractors.

You will coach VAs, optimise workflows, configure platforms for new clients, migrate data, and develop training materials. This remote role follows Australian business hours and reports to the Head of Mentorship & Onboarding.

Qualifications

Job description

Know JackApp and JobTread inside and out? Have 5+ years in construction admin?

Our client places virtual assistants (VAs) with Australian builders and contractors. They need someone to lead the VAs supporting Australian construction clients and become the team's go-to expert for JackApp and JobTread. You'll split your time between coaching people, optimising workflows and solving software problems.

What you'll do:

Lead and coach the Australian team

• Manage and mentor VAs who work with Australian construction clients
• Guide new VAs through their first 90 days, with check-ins at 30, 60 and 90 days
• Spot problems early, such as slow replies, unhappy clients or software difficulties, and step in with coaching
• Keep clear notes on each VA's progress and the issues you've handled
• Follow up on open issues and improvement plans until they're resolved

Be the JackApp and JobTread expert

• Provide technical support and guidance on JackApp and JobTread to VAs, mentors and clients
• Set up and configure both platforms for new clients
• Migrate clients from existing systems and ensure accurate data transfer
• Configure jobs, estimates, quotes and workflows to match each builder's processes
• Troubleshoot software issues and recommend workflow improvements
• Help clients and the team maximise the use of both platforms

Handle Australian client communications

• Monitor client emails and messages throughout your shift
• Resolve issues where possible and hand over outstanding matters before your shift ends

Build training materials

• Turn common questions into guides, checklists, SOPs and short training videos
• Train VAs on JackApp, JobTread and other construction management platforms
• Expand your knowledge of Buildertrend, Buildxact and other tools used by clients

You'll report to the Head of Mentorship & Onboarding and provide regular updates on team performance, client experience and software implementations.

You'll be a great fit if you have

• 5+ years of experience as a project coordinator, construction administrator, contract administrator or construction VA
• Hands-on experience with JackApp and JobTread, including platform setup, configuration and system migration
• A strong understanding of how Australian residential builders and contractors operate
• Experience training, mentoring or managing people
• Excellent organisational and written communication skills
• Strong problem-solving skills and the ability to improve workflows
• Experience with Buildertrend or Buildxact
• Experience migrating businesses between construction management platforms
• Writing SOPs, playbooks or training programmes
• Working directly with Australian builders and contractors
