Job summary

TNO is seeking a Facilities Service Coordinator to be the primary point of contact for facilities services across multiple locations, including The Hague and Groningen. You will ensure smooth operations, manage service providers, handle inquiries, and support procurement and relocation activities.

You will work with internal customers and external suppliers, provide guidance to facilities staff, and help improve services while maintaining security and cost control.

Qualifications

  • Bachelor’s degree level (HBO) in Facilities Management or related field.
  • Solid knowledge of facilities management processes.
  • Experience in a service-oriented role within a larger facilities management organization.
  • Affinity with technical systems and facilities-related technologies.
  • Strong command of both Dutch and English.

Responsibilities

  • Coordinate day-to-day facilities operations, including handling customer inquiries and monitoring service delivery.
  • Conduct performance and progress meetings with service providers and address deviations with Contract Manager.
  • Contribute to procurement and renewal of services and provide input for supplier management activities.
  • Manage budgets and square meter allocation data for cost allocation purposes.
  • Coordinate relocation and office move projects and provide guidance to on-site facilities staff.
  • Report trends and opportunities for service improvement to the Site Manager and support security planning.

As a Facilities Service Coordinator, you will play a crucial role in achieving that goal.What will be your role?As a Facilities Service Coordinator, you are the primary point of contact for all facilities services across multiple TNO locations. Currently, this includes two locations: our headquarters in The Hague and a site in Groningen, which can largely be coordinated remotely.You ensure that facilities processes run smoothly and that customers are satisfied with the services provided. You do this, among other things, by conducting performance and progress meetings with service providers such as cleaning, catering, and reception suppliers. Any service deviations or new customer requirements are addressed in collaboration with the Contract Manager. Based on your understanding of customer needs at your sites, you contribute to the procurement and renewal of services and provide input for supplier management activities.You coordinate day-to-day facilities operations, including handling customer inquiries, monitoring service delivery, managing budgets, and maintaining square meter allocation data for cost allocation purposes. You also play an important coordinating role in relocation and office move projects at your locations. In addition, you provide functional guidance to the facilities staff on site. You identify trends and opportunities for service improvement and report these to the Site Manager.You are also responsible for site security. As the Local Security Officer, you develop security plans and procedures in consultation with the Security Policy Coordinator. You provide security awareness guidance, report incidents, take corrective action when required, and conduct security inspections and site audits.You act as a trusted advisor to internal customers, such as Research Managers, supporting them in matters related to facilities services. You serve as the eyes and ears of the facilities service organization on site. You provide input to and participate in cross-functional projects, while ensuring alignment with other TNO locations regarding standards, policies, and processes. You take ownership of your locations and always act in the best interests of TNO.The TeamAs a Facilities Service Coordinator, you will be part of the Site organization supporting ICT, Strategy & Policy (ISP), Health & Work (H&W), and the Services Organization (SO).The Site team is responsible for delivering facilities services, technical support, and local security at locations in The Hague, Groningen, and Leiden. You will work closely with colleagues in Technical Services, the Facilities Service Desk, Contract Management, ICT, Housing & Real Estate, and Security. In this role, you report directly to the Site Manager.What we expect from youBachelor’s degree level (HBO) working and thinking ability, preferably demonstrated through a relevant degree in Facilities Management or a related field.Solid knowledge of facilities management processes.Experience in a service-oriented role within a larger facilities management organization.Affinity with technical systems and facilities-related technologies.Strong command of both Dutch and English.Living in the Haaglanden region or willing to travel to our locations on a daily basis.Because you are responsible for multiple locations, it is essential that you can organize and manage your processes effectively and excel at collaboration and stakeholder relationship management.Who are you?You are a customer-focused professional who enjoys coordinating, organizing, and improving services.
