Job summary

Stichting Smart Freight Centre is seeking an Event Intern to support Smart Freight Week 2027. The role is hybrid, based in Amsterdam, with a 6-month duration and a 40-hour work week starting in November 2026.

You will help manage registrations, coordinate with speakers and sponsors, and assist on-site during the event. You’ll work closely with the Event Manager to ensure smooth execution, learn from a global platform, and gain hands-on experience in sustainability and logistics events.

  • Excellent English communication and strong interpersonal skills.
  • Organized and able to manage multiple tasks in a fast-paced environment.

Responsibilities

  • Assist with event registrations using Salesforce and Hivebrite, update attendee data and support agenda communication.
  • Coordinate with venue, speakers and suppliers to meet dietary and timing needs.
  • Provide on-site support at registration desks and help with room setups during the event.
  • Contribute to post-event wrap-up, feedback collection and final reports.

About the position

You’ll work closely with our Event Manager and support every stage of Smart Freight Week, from pre-event to during and post-event activities. From helping with registration to assisting on the event floor, this is a hands‑on role where you’ll be involved in making a high‑profile international event run smoothly.

Here’s an idea of what tasks you might be working on:

  • Event preparation: Assist with setting up participant registrations using platforms like Salesforce and Hivebrite, ensuring attendee information is accurate and updated. You’ll also help keep participants informed about the event agenda and support in securing sponsorships for the event.
  • Stakeholderandsuppliercoordination: Communicate with the venue, guest speakers, and suppliers, like catering, to ensure everything is organized, dietary needs are met, and food is served at the right times.
  • On-sitesupport: During the event, you’ll be welcoming attendees at the registration desk, assisting with room setups for workshops and conferences, and keeping everything running smoothly.
  • Post-event wrap-up: Help pack up equipment, gather feedback from attendees, and assist with final reports.

  • People person: You’re fluent in English and love connecting with everyone: colleagues, attendees, suppliers, etc.
  • Organized: You can manage multiple tasks and keep everything on track.
  • Adaptable: You’re flexible and thrive in a fast‑paced environment.
  • Tech enthusiast: Comfortable with MS Office? Great. Never used Salesforce or Flock Eventing Platform ? No problem, we’ll teach you.
  • Teamplayer: You enjoy working with others and are always willing to help wherever needed.
