Job summary

Canon is seeking a Sales Support Coordinator to administer quotations, orders, invoicing, and finance-related tasks for the Semiconductor Anelva Business, with backup support for the Semiconductor Product business. The role involves coordination with Canon Inc.

and Anelva, and travel across Europe/Asia as needed. You will work with multiple systems (Oracle R12, MDM) and collaborate with Finance, Logistics, and IT to ensure accurate data, timely reports, and smooth operations.

Qualifications

  • At least 3 years’ experience in a sales support related position.
  • Excellent communication in English and Japanese for reading and writing.
  • Good skills in MS Office applications; willing & able to travel in Europe and Asia if needed.

Responsibilities

  • Support administration: prepare quotations, enter customer orders, issue delivery notes, process sales and invoices, manage parts stock, arrange exhibitions and transport.
  • Coordinate with Canon Inc./ANELVA for delivery matters and liaise on sales and budget topics with customers and internal teams.
  • Assist with budget reviews, monthly/quarterly/annual reporting, and cost control across offices.

Job Description

This role will support the administration for sales support (prepare quotations, enter customer orders into the system, order parts, arrange transportation, issue delivery notes, process sales, and issue invoices, manage parts stock, and arrange exhibition setups) for our Semiconductor Anelva Business. This role will primarily support our Semiconductor Anelva Business, but will act as backup for our Semiconductor Product business.

Responsibilities

The responsibilities include:

ADMINISTRATION
  • Merchandise items Controller:
  • Create and keep accurate product information control / report
  • Informing and support / contact Canon Inc/Canon ANELVA Corporation for all delivery related matters
  • Communication with Canon Inc/Canon Anelva Corporation.:
  • Liaise on sales and budget related topics with customers and Canon internal
  • Act as a responsible person and arrange efficient meetings throughout the year
  • Share Point Port (SPP Data storage):
  • Update and improve activity by using SPP
  • Administration System Operation
  • Work with different systems Oracle (R12) MDM, PDH, system operation, issue invoice to support with administration.
  • Create the monthly drop shipment data for Inbound team (Excel)
  • Create Master Part List using App Access
  • System operation support and backup.
  • Registration of new customers and suppliers
  • Register and setup new customers setup and new suppliers
  • Registration of new product /parts
  • Register and setup new product /parts
  • Others
  • Support as a coordinator to help book flights, restaurants, etc.
  • Arrange meeting schedules
BUDGET, FINANCE support
  • Support with budget review
  • Monthly, quarterly, and annual financial budget review and modification
  • Preparing and providing budget and actual sales reports to CINC based on every budget review (12 times in a year)
  • Preparing Provisions and Fixed Assets
  • Preparing budget figures for the monthly president report and Canon Inc. report
  • Other budget related activities:
  • Proactive action and support in order to achieve budget
  • Create basic information (according to budget related rules)
  • Communication with Finance team and NSO
  • Provide OFA (budgetary system) input and update
  • Support with costs control for satellite offices
SALES Support
  • Sales Staff Support:
  • Act as a Sales Support Coordinator, prepare quotations, check purchase orders, contracts from customers, and issue confirmation letters
  • Communication with internal stakeholders , like Finance, (Budget, VAT) , Logistics (Trade Term, export, import) and IT
  • Sales & Marketing:
  • Gather and update market information
  • Create and update customer organisation chart
  • Contract/agreement conclusion with customers
  • Understand the content of the contracts , work as a bridge among all related parties.
  • Periodical report
  • Prepare and support Weekly updates
  • Prepare and support Monthly & annual reports of sales figures & marketing activity
  • Customer relations:
  • Carry out smooth daily communications and enhance relationships with customers
  • Act with speed to complaints of customers
ANELVA UK Administration Work
  • Vendor Management
  • Support vendor selection and obtain quotations for facility-related services
  • Office Cost Contral
  • Processing payments and recharge to CENV
  • Support with Monthly reports of UK office costs
Qualifications
  • At least 3 years’ experience in a sales support related position
