Job summary

EdgeConneX Amsterdam is seeking a Contracts Administrator to manage day-to-day vendor service agreements and related documents, reporting to the Contracts Manager. You will draft, track, and file contracts while coordinating with Legal, Finance, and Operations to ensure accuracy and timely action.

The ideal candidate has 2–5 years in contract administration, a business/operations degree, and experience with contract systems (Ironclad, Coupa).

Qualifications

  • 2–5 years of experience in contract administration or related business support role.
  • Bachelor’s Degree in Business Management or related Operations discipline.
  • Experience with contract management systems (e.g., Ironclad) or Source-to-Pay Platforms (e.g., Coupa) a plus.
  • Experience in the Data Center, Construction, or Real Estate industries also a plus.
  • Fluency in Italian, Swedish, Norwegian or Finnish is a plus.

Responsibilities

  • Draft, review, and process vendor service agreements and related contract documents.
  • Track contract status, key dates, renewals, and expirations.
  • Maintain organized contract files and records in the CMS.
  • Coordinate with Legal, Finance, and Operations for contract review and approval.
  • Escalate contract issues to the Contracts Manager as appropriate.
  • Coordinate and manage the contract review/approval process per matrix and signatories.
  • Prepare routine contract reports and status summaries for management.
  • Update contract templates and playbooks.
  • Respond to internal requests for contract status and documentation.
  • Assist with amendments, renewals, and close-out tasks.
  • Facilitate cross-department calls to track status and priorities.
  • Contribute as regional SME in vendor calls.
  • Coordinate payment schedules, accruals and amortizations with AP/Accounting.
  • Resolve disputed invoices issued against contracts.

The Contracts Administrator supports the day-to-day administration of Regional Vendor Service Agreements, assisting with contract drafting, tracking, and record-keeping in close coordination with the Contracts Manager and key internal stakeholders. This position helps carry out contract lifecycle tasks from draft to execution, according to company policy and procedures. Strong attention to detail and a willingness to learn are key to success in this role. This position is based in Amsterdam and reports to the Contracts Manager.

Primary Responsibilities
  • Support the drafting, review, and processing of vendor service agreements and related contract documents.
  • Track contract status, key dates, renewals, and expirations to help ensure timely action.
  • Maintain accurate, organized contract files and records within the contract management system.
  • Coordinate with internal stakeholders, including Legal, Finance, and Operations, to gather information needed for contract review and approval.
  • Escalate contract issues, discrepancies, or risks to the Contracts Manager as appropriate.
  • Coordinate and manage a disciplined contract review and approval process according to a company approval matrix, site-level entity, and authorized signatories
  • Prepare routine contract reports and status summaries for management.
  • Support the maintenance and updating of contract templates and playbooks.
  • Respond to internal requests for contract status updates and documentation.
  • Assist with administrative tasks related to contract amendments, renewals, and close-out.
  • Facilitate and contribute to cross-department calls to help track contract status and priorities.
  • Contribute to vendor calls as needed as regional subject matter expert (SME).
  • Coordinate payment schedules, accruals and amortizations with AP and Accounting.
  • Resolve disputed invoices issued against contracts.
Knowledge, Skills & Abilities
  • Detail-oriented with strong organizational skills.
  • Travel as needed up to 15%.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with contract management software a plus.
  • Ability to work both independently and collaboratively within a team.
  • Strong attention to detail, especially when reviewing documents for accuracy.
  • Comfortable following established procedures, checklists, and templates.
  • Comfortable with and willing to work with cross-functional teams.
  • Commitment to organizational excellence and constant awareness to seek opportunities to improve processes.
