Job description

This is a warehouse administration role primarily focused on office-based data management, system updates, documentation and cross-functional coordination. The role supports daily warehouse and logistics operations to ensure accurate and timely order fulfilment, with occasional support for warehouse activities when required.

Key responsibilities

• Handle daily warehouse administrative tasks, including preparation of warehouse-related payment documents, documentation and coordination with relevant departments
• Update and maintain warehouse and logistics information in the ITMS system, including pick-up collection, shipment, delivery and Proof of Delivery (POD)
• Ensure system data is accurate, complete and consistent with actual operations
• Maintain proper filing, records and data tracking for warehouse activities
• Monitor and follow up on the full outbound order process, including picking, checking, shipping, delivery, reconciliation, returns, POD and invoicing
• Track outstanding orders and follow up with relevant parties to ensure timely completion
• Coordinate with Warehouse Operations, Transportation, Sales and Service teams to ensure smooth order fulfilment
• Follow up on delivery discrepancies, missing documentation and other operational issues
• Assist with stock counting, cycle counts and inventory reconciliation when required
• Prepare reports, trackers and other relevant documents as required

About you

• Diploma or Degree in Logistics, Supply Chain, Business Administration or a related field
• Previous experience in warehouse administration, logistics, inventory, order processing or data management is preferred
• Strong attention to detail and accuracy when handling data, documents and system records
• Proactive and responsible, with the ability to follow up on tasks independently and ensure completion
• Good communication and coordination skills, with the ability to work effectively across different departments
• Proficient in Microsoft Excel and basic computer/system data entry
• Able to communicate effectively in English and Mandarin/Chinese
• Able to work in a fast-paced environment and manage multiple tasks
