About the Role
Our client is seeking a highly organized and proactive Technical Production Assistant. Your day-to-day operational manager will be an Event Technical Director at one of our client premier Multi-National Company (MNC) clients. You will act as the right-hand support to this MNC Director, bridging the gap between administrative coordination and technical event production. The ideal candidate has a foundational understanding of event AV/production, excellent administrative skills, and the polished professionalism required to seamlessly integrate into an MNC environment while representing company's standards.
Key Responsibilities
1. Dedicated Executive Support (Administrative & Logistical)
- Act as the primary gatekeeper and assistant to the MNC Event Technical Director.
- Manage complex scheduling, calendar coordination, and meeting arrangements across different time zones.
- Arrange international and domestic travel itineraries, accommodations, and logistics for the Director and the extended event crew.
- Take precise meeting minutes during technical briefings and ensure all action items are tracked and followed up on.
2. Pre-Event Technical Coordination
- Assist the Director in drafting, formatting, and proofing highly detailed technical documents, run-sheets (show flows), and equipment manifests.
- Support the preparation of presentation decks (PowerPoint/Keynote), ensuring all multimedia elements are embedded correctly and formatted to client standards.
- Act as a liaison with third-party vendors (AV, lighting, staging), requesting quotes, tracking deliveries, and cross-checking equipment lists against the Director’s specifications.
- Help maintain and organize digital assets, floor plans, and technical archives.
3. On-Site Event Assistance (Live Execution)
- Travel with the Technical Director to high-stakes corporate events across Asia.
- Manage the "control desk" administration on-site: distributing updated run-sheets, coordinating crew meals, and ensuring the Director has everything needed to call the show.
- Act as a runner and immediate problem-solver for technical and logistical hiccups during the event setup, rehearsal, and live show phases.
- Facilitate smooth communication between the Director, the local crew, and the venue staff.
Requirements
- Experience: Minimum education of Diploma with 1–3 years of experience in Event Management, Production Assistance, or as a specialized Administrative Assistant in a technical/creative field.
- Client-Facing Professionalism: High emotional intelligence with the ability to represent the company excellently while integrating seamlessly into the client's corporate culture.
- Technical Foundation: A basic understanding of event technology (audio, visual, lighting) and terminology. You don't need to operate the console, but you need to know the difference between a lavalier mic and a line array.
- Software Skills: Highly proficient in Microsoft Office (especially PowerPoint and Excel). Familiarity with Canva or basic floor-planning software is a plus.
- Language: Fluent in spoken and written English & (Mandarin)
- Travel: Must possess a valid pass‑port and be highly willing to travel internationally for on-site event execution.
