Qualifications

• Bachelor's degree in Food Science, Food Technology, Quality Management, Science or related field.
• 1–3 years of relevant experience in QMS/FSQMS, document control governance, certification management, or internal auditing within a food manufacturing environment.
• Good knowledge of ISO 22000, MS 1480 (HACCP), JAKIM Halal requirements and Food Safety Management Systems.
• Experience with document control, internal audit coordination, certification management, and audit readiness.
• Exposure to internal auditing or Certified Internal Auditor qualification is a plus.
• Familiar with RCA tools (e.g., 5-Why) for investigations and corrective actions.
• Strong attention to detail with excellent document control and compliance monitoring skills.

Responsibilities

• Govern and maintain FSQMS to ensure ISO 22000 and MS 1480 (HACCP) certification compliance.
• Serve as Master Document Controller for ISO 22000 / HACCP documentation; maintain manuals, SOPs, forms, and records.
• Coordinate internal audit programme and CAR/CPAR tracking; ensure timely closure and effectiveness of corrective actions.
• Maintain audit master files and support external certification audits.
• Provide Halal Assurance System (HAS) support and Halal documentation preparation.
• Collaborate with QA, QC, Production, and other departments to keep documents updated and audits ready.
• Provide cross-functional support during surges, audits, or business needs and assist in continuous improvement.

We are looking for a proactive, detail-oriented, and organized System Executive to join our Quality Management team in a fast-paced FMCG manufacturing environment. This role is responsible for governing and maintaining the company's Food Safety & Quality Management Systems (FSQMS), with a primary focus on ISO 22000, MS 1480 (HACCP), document control governance, internal audit coordination, audit readiness, certification maintenance, and Halal Assurance System (HAS) compliance.

Key Responsibilities:

The ideal candidate is proactive, analytical, and highly organized, with a strong sense of ownership over quality management systems. They are able to maintain continuous audit readiness, uphold document control integrity, and collaborate effectively across cross-functional teams to ensure compliance with food safety standards and continuous improvement initiatives.

Food Safety & Quality Management Systems (FSQMS)

Execute and monitor the implementation of ISO 22000 and MS 1480 (HACCP) systems across manufacturing operations to achieve and sustain certification compliance.

Govern and maintain the Food Safety & Quality Management Systems (FSQMS), ensuring compliance with company standards, regulatory requirements, and certification requirements.

Perform routine system reviews and process gap analyses to identify improvement opportunities and support Continuous Improvement (CI) initiatives.

Master Document Control

Serve as the Master Document Controller for ISO 22000 and MS 1480 (HACCP) documentation.

Govern quality manuals, Standard Operating Procedures (SOPs), work instructions, forms, and quality records to ensure proper version control, document integrity, and traceability.

Ensure all controlled documents are accurately maintained, updated, approved, distributed, and archived in accordance with company procedures.

Internal Audit & CAR/CPAR Management

Coordinate and manage the internal audit programme and audit schedules.

Own and maintain the central Corrective and Preventive Action Request (CAR/CPAR) tracking register to ensure timely closure, verification, and effectiveness of corrective actions.

Monitor audit findings, follow up on corrective actions, and maintain complete records of non-conformance resolutions.

Support continuous audit readiness across manufacturing operations.

Audit Readiness & Certification

Maintain audit master files, supporting documents, evidence logs, and system records for internal, customer, regulatory, and third-party audits.

Coordinate certification activities and support external certification audits.

Ensure all audit documentation is complete, organized, and readily available to facilitate successful audit outcomes.

Halal Management

Provide system support for the Halal Assurance Management System (HAS) to maintain compliance with JAKIM Halal requirements.

Coordinate Halal documentation and support Halal audit preparation and follow-up activities.

Assist in ensuring compliance with company Halal policies and certification requirements.

Cross-Functional & Operational Support

Collaborate closely with QA, QC, Production, Warehouse, and other departments to ensure timely document updates, audit readiness, and closure of corrective actions.

Provide operational support, relief coverage, and cross-functional assistance for QA, QC, or Food Safety functions during operational surges, audits, or business requirements.

Perform any other quality management system or operational duties assigned by the Management.

Requirements

Bachelor's Degree in Food Science, Food Technology, Quality Management, Science, or a related field.

1–3 years of relevant working experience in Quality Management Systems (QMS/FSQMS), document control governance, certification management, or internal auditing within a food manufacturing environment.

Good knowledge of ISO 22000, MS 1480 (HACCP), JAKIM Halal requirements, and Food Safety Management Systems.

Experience in document control, internal audit coordination, certification management, and maintaining audit readiness.

Exposure to internal auditing or Certified Internal Auditor qualification will be an added advantage.

Familiar with Root Cause Analysis (RCA) tools (e.g. 5-Why) to support investigations, CAR/CPAR tracking, and corrective action implementation.

Strong attention to detail with excellent document control, record management, and compliance monitoring skills.

Proficient in Microsoft Excel, Word, and PowerPoint.

Strong analytical, organizational, and problem-solving skills with the ability to manage multiple priorities.

Good interpersonal and communication skills, with the ability to collaborate effectively with cross-functional teams and support audit activities.
