Job summary

Gradiant Malaysia Sdn. Bhd. is seeking a Supply Chain Executive to manage end-to-end procurement, logistics, and materials planning for projects and operations. You will liaise with engineers, project teams, and suppliers to ensure timely, cost-effective material flow and ERP transactions.

You will support compliance with ISO standards and HSSE requirements, driving continuous improvement in supply chain performance across Malaysia operations.

Qualifications

• Diploma or Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, Warehouse Management, or related field.
• 3–5 years of experience in Procurement, Supply Chain, Logistics or Materials Management.
• Familiarity with ERP systems (SAP, Oracle, Microsoft Dynamics or similar).

Responsibilities

• Procurement Management: manage sourcing to PO closure and RFQs.
• Logistics Management: coordinate inbound/outbound shipments and customs clearance.
• Inventory & Materials Management: monitor stock, reorder points, and accuracy in ERP.

Job Overview

The Supply Chain Executive is responsible for managing the end-to-end supply chain activities of Gradiant Malaysia Sdn. Bhd., including procurement, supplier management, logistics, inventory control, and materials planning. The role is accountable for ensuring timely and cost-effective acquisition, delivery, and availability of materials, equipment, and services required for project execution and business operations. The incumbent serves as the key focal point between suppliers, logistics providers, project teams, engineering, finance, and operations to ensure supply continuity, cost optimization, and operational excellence.

The incumbent will work closely with Engineering, Project Management, Finance, Manufacturing, and external suppliers to ensure uninterrupted supply, cost optimization, and ERP system transactions, while ensuring regulatory compliance with company policies, quality requirements, and applicable regulations, and continuous improvement of supply chain performance.

Specific Duties & Responsibilities

Procurement Management

Manage the complete procurement cycle from sourcing to Purchase Order closure.

Issue Requests for Quotation (RFQs), evaluate supplier quotations, and conduct commercial comparisons.

Negotiate pricing, delivery terms, payment terms, and Service Agreements to achieve the best value for the company.

Create and manage Purchase Orders (POs) and ensure timely order placement.

Monitor supplier acknowledgements and delivery commitments.

Expedite critical orders to support project schedules and operational requirements.

Identify, develop, qualify, and manage suppliers for direct and indirect materials.

Conduct Supplier Performance Evaluation/Review and implement corrective actions where necessary.

Maintain Approved Vendor List and supplier documentation.

Ensure compliance with Procurement Policies, delegated authority limits, and contractual obligations.

Logistics Management

Own and manage all inbound and outbound logistics operations.

Coordinate shipments with freight forwarders, carriers, customs brokers, and logistics providers.

Select the most cost-effective and reliable transportation methods.

Manage import and export activities in compliance with Malaysian and international regulations.

Prepare and review shipping documentation, including Commercial Invoices, Packing Lists, Delivery Orders, Bills of Lading, Air Waybills, Certificate of Origin (applicable Free Trade Agreement), and Customs Documentation.

Monitor shipment status and proactively resolve transportation delays.

Coordinate customs clearance and ensure timely delivery of goods to project sites, warehouses, or customers.

Evaluate logistics service providers and negotiate freight rates and service agreements.

Manage logistics costs and identify opportunities for optimization.

Inventory & Materials Management

Monitor inventory levels and maintain adequate stock to support business requirements.

Establish appropriate reorder points and safety stock levels.

Prevent stock-outs, excess inventory, and obsolete materials.

Coordinate inventory reconciliation and stock count activities.

Ensure inventory accuracy within ERP systems.

Work closely with warehouse/manufacturing personnel to optimize storage and material flow.

Serve as the primary point of contact for suppliers.

Build strategic relationships with key suppliers to improve performance and reliability.

Review supplier performance based on quality, cost, delivery, and responsiveness.

Lead supplier issue resolution activities.

Support supplier audits and qualification programs.

Project Procurement & Supply Chain Support

Work closely with Project Managers and Engineers to support project execution.

Develop procurement and shipping/delivery plans aligned with project milestones.

Ensure timely procurement of long-lead and critical equipment.

Monitor material readiness and delivery status for all active projects.

Provide regular procurement and logistics status reports to stakeholders.

Drive procurement and logistics cost reduction initiatives.

Analyze spend patterns and identify consolidation opportunities.

Implement process improvements to enhance efficiency and reduce lead times.

Support digitalization and automation projects within supply chain operations.

Contribute to working capital improvement through inventory optimization.

Compliance, Safety & Quality

Ensure compliance with company policies, ISO standards, and applicable regulations.

Adhere to Health, Safety, Security, and Environmental (HSSE) requirements.

Maintain safe operations and report safety concerns promptly.

Participate in continuous improvement initiatives to enhance procurement and logistics efficiency.

Qualification, Skills & Experience

Qualification

Diploma or Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, Warehouse Management, or a related field.

Basic knowledge of inventory management systems and warehouse procedures.

Experience in industrial, engineering, water treatment, environmental technology, EPC, or manufacturing environments is an advantage.

Familiarity with ERP systems (SAP, Oracle, Microsoft Dynamics, or similar) is an advantage.
