Senior Executive (Administration & Building Maintenance & Membership Management
A. Building Administration & Maintenance (Wisma REHDA)
- Ensure the Wisma REHDA building is well‑maintained, safe and in good working condition at all times including schedule/monitor monthly maintenance works, preventive maintenance and corrective repairs, including follow‑ups on defects until completion.
- Main liaison with all vendors, service providers and contractors (cleaning, security, lifts, air‑conditioning, landscaping, pest control, IT maintenance, etc.).
- Marketing of rental spaces, coordinate facility bookings and ensure the meeting rooms and event spaces are in good condition for internal/external use. Preparation of contracts/agreements and ensuring compliance with stipulated terms.
- Oversee procurement related to building upkeep, assets, furniture and equipment, including sourcing quotations, vendor evaluation and asset inventory control.
- Maintain asset registers and records of repair/service history.
- Record keeping of Sales & Purchase Agreement of Wisma REHDA and its Branches.
B. Administration & Procurement
- Prepare purchase requests, obtain quotations and support procurement evaluation based on Association’s procedures.
- Ensure proper documentation, filing and record‑keeping for administrative items and vendor contracts/agreements.
- Assist in policy implementation related to administrative SOPs, procurement processes and building usage guidelines.
- Insurance renewals related to building, fixtures, fittings, public liability, etc.
C. Membership Management & Marketing
- Assist in the management and marketing of REHDA membership.
- Handle enquiries, registration, renewals, updates of member information and issuance of membership certificates.
- Engage with members professionally, maintain accurate membership database and assist in data reporting and statistics for management’s use.
D. General Responsibilities
- Provide administrative support during events, meetings and official programmes held at Wisma REHDA.
- Assist in budget preparation related to building maintenance, asset procurement and membership activities.
- Perform any other duties as may be required by Management from time to time.
Requirements
- Degree/Diploma holder in related disciplines.
- Experience in building administration & maintenance, procurement and membership servicing.
- Good communication and negotiation skills, able to handle vendors and members professionally.
- Strong organizational and time‑management skills, customer oriented and able to handle multiple projects simultaneously.
- Able to work under pressure, systematically in a very fast paced environment with minimum supervision - independently or in a team.
- Proficient in MS office and comfortable with data reporting.
- Good command of verbal and written English and Bahasa Malaysia.
