Job summary

The Branding People in Kuala Lumpur is seeking a Senior Admin Executive to manage the financial and administrative backbone of our marketing operations. You will ensure ad platform top-ups stay funded, access is securely managed, and monthly spend is audited in a fast-paced environment.

You will coordinate with the Finance and Analytics teams, handle multi-currency payments (MYR, SGD), and support budgeting and forecasting for marketing expenses.

Qualifications

• Diploma or degree in business administration, finance, accounting, or a related field.
• Proficient in English and Mandarin (spoken and written).
• 2–5 years of experience in administrative, finance operations, or marketing operations.

Responsibilities

• Manage finance top-ups across platforms and brands to prevent ad delivery interruptions.
• Administer user access and permissions across platforms and internal tools; onboarding, offboarding, audits for security compliance.
• Assist in processing marketing-related payments across multi-currency (MYR & SGD).
• Coordinate with Finance on monthly spend audits and reconcile ad spend against invoices; prepare reports.
• Liaise with vendors/platforms to resolve billing issues and discrepancies.
• Collaborate with Analytics to ensure tracking tools remain funded and operational.
• Support budget tracking and forecasting for marketing expenses.

As our campaigns and brand portfolios continue to scale across multiple markets, we're looking for a highly detail-oriented Senior Admin Executive to manage the financial and administrative backbone of our marketing operations. If you excel at ensuring advertising platforms stay funded, team access is securely managed, and monthly spend is accurately audited in a fast-paced environment — this is the perfect role for you.

What You'll Be Crafting

• Manage finance top-ups across multiple platforms and brands, monitoring balances to prevent ad delivery interruptions.
• Administer user access and permissions across marketing platforms and internal tools, handling onboarding, offboarding, and periodic access audits to ensure security compliance.
• Assist in processing marketing-related payments, including ad spend, vendor invoices, and platform subscriptions across multi-currency accounts (MYR & SGD).
• Coordinate with the Finance team on monthly marketing spend audits, reconciling ad platform spend against invoices and preparing spend reports.
• Liaise directly with vendors and platform representatives to resolve billing issues and payment discrepancies.
• Collaborate with the Analytics team to ensure internal tracking tools and platforms remain funded and fully operational.
• Support budget tracking and forecasting for marketing expenses.

Your Superpowers

• Diploma or Degree in Business Administration, Finance, Accounting, or a related field.
• Good command of English and Mandarin (spoken and written).
• 2–5 years of experience in administrative, finance operations, or marketing operations.
• Experience managing top-ups and payments on digital advertising platforms (Meta Business Suite, Google Ads, TikTok Ads) would be advantageous.
• Familiarity with multi-currency operations (MYR, SGD) and multi-brand ad account structures.
• Proficient in Excel and Google Workspace, with basic financial reconciliation or bookkeeping skills.
• Strong attention to detail, highly organized, and comfortable working within fast-moving, deadline-driven marketing cycles.
• Clear and confident communicator able to coordinate seamlessly across marketing, finance, and analytics teams.
• Responsible, proactive, and able to handle confidential financial data with the highest level of professionalism and discretion.
