About The Role

We are seeking a proactive and detail‑oriented Sales Support Specialist to provide daily administrative and operational support to our sales team. This role ensures smooth processing of sales activities, exceptional customer experience, and effective coordination between clients, internal teams, and sales representatives.

Key Responsibilities
  • Provide troubleshooting assistance for customer orders, account issues, and related inquiries.
  • Verify updated rates with overseas offices/agents and ensure all quotations are accurate and valid.
  • Set up and maintain customer files, including KPIs, quotations, SOPs, and special requirements.
  • Collaborate with Business Development Managers (BDM) to support sales strategies.
  • Review pending orders and customer requests to ensure superior customer service.
  • Update the Sales team regarding customer activities, feedback, and issues.
  • Input updated rates into EDI for Autorating‑Free Hand processes.
  • Liaise with Operations CS for PO follow‑ups.
  • Support BDM/BDE teams in following up with clients regarding outstanding payments.
  • Recommend process improvements to enhance workflow efficiency.
  • Maintain an organized and accessible filing system for sales and administrative records.
  • Coordinate and schedule client meetings, conferences, and internal appointments.
  • Conduct telephone follow‑ups with clients for administrative purposes.
  • Provide administrative support to executives and management as needed.
  • Create and process sales orders promptly and accurately.
  • Flag unusual customer or sales activity to supervisors.
  • Expedite rush orders and update shipping details when required.
Requirements
  • Minimum 2 years of air & sea freight experience within the freight forwarding industry.
  • Prior Sales Support experience is an added advantage.
  • Proficient in Microsoft Office; able to work independently with minimal supervision.
  • Strong understanding of key sales support processes, freight industry practices, and customer service excellence.
  • Excellent communication and interpersonal skills.
  • A pleasant personality and strong team‑player mindset.
  • Highly organized, reliable, and detail-oriented.
  • Able to manage multiple tasks and accounts simultaneously.
  • Customer‑focused with a proactive attitude.
