The Sales Coordinator is responsible for providing administrative, coordination and operational support to the Sales & Marketing Department. The position assists in handling sales enquiries, preparing quotations and proposals, coordinating customer requirements, maintaining sales records and ensuring effective communication between clients and relevant hotel departments.
The role also supports the sales team in generating revenue from corporate clients, government agencies, travel agents, events, meetings, weddings, conferences and other business opportunities.
KEY DUTIES AND RESPONSIBILITIES
- 1. Sales Enquiries and Customer Service
- Receive and respond to enquiries from potential and existing customers through telephone, email, WhatsApp and other communication channels.
- Provide accurate information regarding hotel rooms, meeting facilities, banquet packages, weddings, events and other hotel services.
- Assist customers in selecting suitable packages based on their requirements and budget.
- Ensure all customer enquiries are responded to promptly and professionally.
- Follow up with potential customers to convert enquiries into confirmed business.
- Maintain good relationships with existing corporate and individual clients.
- Prepare quotations, proposals, presentation materials and other sales-related documents.
- Prepare letters, agreements, contracts and confirmation documents for customers.
- Ensure all sales documents are accurate and properly approved before submission to customers.
- Maintain proper filing and documentation of quotations, contracts and correspondence.
- Update sales records, customer databases and business opportunity tracking.
- Assist in preparing monthly sales reports and other reports required by Management.
- 3. Corporate and Government Clients
- Assist in managing enquiries from corporate companies, government agencies, statutory bodies and other organisations.
- Maintain an updated database of corporate and government customers.
- Assist in preparing corporate accommodation and meeting packages.
- Follow up with existing clients regarding future business opportunities.
- Assist the sales team in building long-term relationships with key accounts.
- Support sales activities involving government functions, seminars, meetings and official events.
- 4. Events, Meetings and Banquet Coordination
- Coordinate customer requirements for meetings, seminars, conferences, weddings and other events.
- Liaise with the Banquet, Food & Beverage, Front Office, Housekeeping and other relevant departments.
- Prepare and distribute function sheets, event orders or relevant operational information.
- Ensure all event requirements are communicated accurately to the operational team.
- Assist in conducting site inspections for potential customers.
- Follow up with customers before and after events to ensure satisfaction.
- 5. Room Sales and Group Bookings
- Assist in handling group accommodation enquiries and bookings.
- Coordinate room requirements with the Front Office Department.
- Prepare rooming lists and relevant documentation for group arrivals.
- Ensure special customer requirements are communicated to relevant departments.
- Monitor group booking status and payment arrangements.
- Assist in identifying opportunities to increase room sales and occupancy.
- Provide administrative support to the Assistant Sales Manager and Sales Executives.
- Assist in preparing materials for client meetings and sales presentations.
- Arrange appointments, meetings and site inspections.
- Support the sales team during client visits and hotel familiarisation tours.
- Assist in organising promotional activities, exhibitions, roadshows and networking events.
- Accompany Sales Executives for client visits when required.
- 7. Customer Database and Sales Records
- Maintain an accurate and updated customer database.
- Record customer contacts, enquiries and business opportunities.
- Monitor quotation status and follow-up actions.
- Maintain records of lost business and reasons for unsuccessful bookings.
- Assist in analysing customer trends and business opportunities.
- Ensure confidentiality of customer and company information.
- 8. Internal Coordination
- Maintain effective communication between the Sales Department and other hotel departments.
- Coordinate customer requirements with operational teams.
- Ensure all confirmed booking information is communicated accurately and on time.
- Attend operational meetings when required.
- Follow up on outstanding matters related to customer bookings and events.
- Assist in resolving coordination issues between customers and hotel departments.
- Assist in preparing daily, weekly and monthly sales reports.
- Monitor sales enquiries and conversion status.
- Prepare reports on confirmed business and potential revenue.
- Assist in maintaining sales forecasts.
- Track sales activities and customer follow-ups.
- Provide relevant information and reports requested by the Sales Manager or Management.
- 10. Marketing and Promotional Support
- Assist in promoting hotel packages, facilities and services.
- Support marketing campaigns and promotional activities.
- Assist in preparing promotional materials and customer communications.
- Participate in exhibitions, trade shows, tourism events and corporate networking programmes.
- Assist in collecting market and competitor information.
- Provide feedback on customer preferences and market trends.
QUALIFICATIONS AND REQUIREMENTS
Diploma or Bachelor's Degree in Hospitality Management, Hotel Management, Business Administration, Marketing or related field.
Experience
- Minimum 1–2 years of experience in hotel sales, customer service, administration or hospitality industry is preferred.
Skills
- Good communication skills in Bahasa Malaysia and English.
- Ability to communicate effectively with customers and internal departments.
- Good organisational and coordination skills.
- Proficiency in Microsoft Office, including Microsoft Word, Excel and PowerPoint.
- Good report writing and documentation skills.
- Ability to manage multiple tasks and meet deadlines.
- Basic knowledge of hotel operations is an advantage.
- Knowledge of sales and customer relationship management is preferred.
