Job summary

Ninja Van in Malaysia is seeking an energetic operations associate to manage sea freight and cross-border shipments. You will coordinate bookings, documentation, and customer communications to ensure timely deliveries and accurate records.

As a liaison across Sales, Finance, and Logistics, you will resolve issues, update systems, and help optimize processes while ensuring compliance with local customs requirements and documentation standards.

Qualifications

• 1–2 years of operational or customer service experience in sea freight/freight forwarding.
• Good understanding of import/export documentation and sea freight workflows.
• Familiar with Malaysia customs clearance processes and able to prepare customs documents.

Responsibilities

• Act as the primary operational liaison for sea freight & cross-border trucking shipments between internal teams, external customers, and logistics vendors.
• Coordinate end-to-end daily sea freight operations, including freight bookings, haulage, and document preparation.
• Provide customers with accurate shipment status, schedules, and documentation requirements.
• Respond to customer inquiries via phone, email, or in-person in a timely and professional manner.
• Coordinate with internal departments (Solutions, Sales, Finance) to ensure smooth execution of orders.
• Update FMS system timely.
• Validate supplier/agent invoices and submit to finance promptly.
• Build and maintain strong relationships with customers to encourage repeat business.
• Handle customer complaints and complex issues, providing effective and timely resolutions.
• Ensure all necessary documentation (B/L, customs forms, ISF/AMS filings, shipping notes, bookings) is completed accurately and submitted on time.
• Prepare and review import/export customs clearance documentation; ensure shipments comply with local customs/regulatory requirements.
• Monitor and improve customer service processes; provide feedback to management.
• Handle standard operational disruptions and first-level escalations, escalating complex issues to the Manager as needed.
• Work with operations, logistics, finance to resolve shipment-related problems.
• Assist in gathering weekly/monthly operational data and preparing basic reporting slides.
• Identify recurring bottlenecks and suggest workflow improvements to enhance satisfaction.
