Indah Gershon Sdn Bhd is seeking a Project Coordinator to assist in coordinating day-to-day project activities, liaise with site teams, subcontractors and suppliers, and ensure work aligns with drawings, specifications and instructions.
You will monitor progress, prepare reports, manage project documents, coordinate materials and assist with site issues, handovers, and client communications, with travel to project sites as required.
Assist the Management in coordinating day-to-day project activities.
Coordinate with site supervisors, workers, subcontractors and suppliers.
Follow up on project schedules, work progress and outstanding activities.
Ensure work activities are carried out according to approved drawings, specifications and instructions.
Coordinate materials, manpower and equipment required for project works.
Assist in resolving site issues and coordinate corrective actions.
Conduct regular site visits to monitor work progress.
Obtain daily updates from the site team.
Record completed works, ongoing activities and outstanding works.
Take site photographs for progress records and reporting.
Monitor subcontractors' work progress and highlight delays or issues to the Management.
Assist in checking completed works and preparing defect lists.
Prepare and maintain project-related documents and records.
Assist in preparing daily, weekly and monthly project progress reports.
Maintain records of drawings, quotations, work orders, delivery orders and site instructions.
Prepare meeting minutes and follow up on agreed actions.
Maintain proper filing of project correspondence and documentation.
Assist with preparation of project submissions and handover documents.
Coordinate with suppliers regarding material availability and delivery schedules.
Follow up on purchase orders and delivery status.
Monitor material requirements based on project progress.
Report material shortages, delays or incorrect deliveries to the Management.
Assist in checking delivered materials against required specifications.
Coordinate work schedules with subcontractors.
Follow up on subcontractor work progress and outstanding works.
Communicate project instructions and site requirements to subcontractors.
Assist in monitoring subcontractor workmanship and compliance with project requirements.
Escalate performance issues or delays to the Management.
Assist the Management in communicating with clients, consultants and relevant parties.
Arrange site meetings, inspections and coordination sessions.
Follow up on client/consultant comments and instructions.
Ensure relevant instructions are communicated to the site team.
Maintain proper records of client and consultant correspondence.
Assist the project team in ensuring site activities follow company HSE requirements.
Report unsafe conditions, incidents or potential hazards to the responsible person.
Assist in monitoring general housekeeping and site cleanliness.
Support the team in maintaining required quality standards.
Assist in recording and following up on defects and rectification works.
Coordinate outstanding and rectification works.
Follow up on defects until completion.
Assist with final inspection and client handover.
Ensure project documents are properly compiled and filed upon completion.
Minimum Diploma / Certificate in Construction, Civil Engineering, Building, Project Management, Business Administration or related field.
3-5 years of working experience in construction/project coordination is preferred.
Basic knowledge of construction processes, drawings and site activities.
Good communication and coordination skills.
Able to communicate with workers, subcontractors, suppliers, clients and consultants.
Good organisational and time-management skills.
Basic knowledge of Microsoft Word and Excel.
Able to prepare simple reports, schedules and project documentation.
Willing to travel to project sites when required.
Possess a valid driving license and own transportation.
Able to work independently with minimum supervision and as part of a team.

The Project Coordinator is expected to ensure that:

Client and consultant instructions are communicated to the relevant team.
Outstanding works and defects are tracked until completion.
Any project delays, issues or risks are promptly reported to the Management.
