About the role

XING JI ENGINEERING SDN BHD is seeking a dedicated License Officer to join our team in Kuala Lumpur. This is a full-time position based on-site in Kuala Lumpur. As License Officer, you will play a crucial role in managing and maintaining our licensing compliance, ensuring that all regulatory requirements are met and that our operations remain fully compliant with all relevant authorities. This position is integral to our administrative operations and directly supports the smooth functioning of our business across all departments.

Key responsibilities

• Maintain and update all licensing records and documentation, ensuring they remain current and compliant with regulatory requirements
• Liaise with government agencies, licensing bodies and regulatory authorities to manage applications, renewals and compliance matters
• Prepare and submit licensing applications and renewal forms within required timeframes
• Monitor expiration dates for all licenses and permits, and initiate renewal processes proactively
• Maintain detailed records of all licensing activities, including correspondence, approvals and regulatory changes
• Support audit and compliance procedures by providing accurate licensing documentation and reports
• Communicate with internal departments regarding licensing requirements and regulatory updates
• Identify and implement process improvements to streamline licensing administration
• Manage licensing fees, budgets and payments to relevant authorities

What we're looking for

• Proven experience in licensing administration or client and sales administration roles
• Strong knowledge of regulatory compliance and licensing requirements in Malaysia
• Excellent organisational and record-keeping skills with meticulous attention to detail
• Proficiency in Microsoft Office applications and database management systems
• Strong communication skills, both written and verbal, to interact with government agencies and internal stakeholders
• Ability to manage multiple tasks and meet strict deadlines
• Professional demeanour and discretion when handling sensitive licensing matters
• Proactive approach to identifying and resolving compliance issues
• Experience with licensing portals and online government systems is desirable
