About the Role

We are looking for a hands‑on and independent HR Specialist to support our growing workforce in Malaysia. This is a core HR operations role with primary ownership of payroll, employee lifecycle management and outsourced workforce/vendor operations. You will work closely with employees, business leaders, regional stakeholders and external service providers to ensure HR processes are delivered accurately, efficiently and compliantly.

Job Responsibilities

1. HR Operations & Employee Lifecycle

• Manage end‑to‑end employee lifecycle activities, including onboarding, transfers, probation, employee movements and offboarding.
• Serve as a key HR point of contact for employees and managers, providing timely and practical HR support.
• Maintain accurate employee records and HR documentation, and drive process improvements to enhance operational efficiency and employee experience.

2. Payroll & HR Administration

• Own and coordinate monthly payroll, including payroll inputs, validation, reconciliation and resolution of discrepancies and employee queries.
• Partner with payroll vendors, Finance and internal stakeholders to ensure accurate and timely payroll delivery.
• Ensure statutory contributions, payroll controls and documentation comply with Malaysian requirements and support audit readiness.

3. Outsourced Workforce & Vendor Management

• Manage HR operations for outsourced employees and contractors, including onboarding, offboarding, contracts and workforce administration.
• Manage EOR, outsourcing, payroll and manpower service providers, monitoring agreed KPIs, SLAs, compliance and service quality.
• Identify vendor or workforce issues and drive corrective actions through to resolution.

4. Employee Relations, Compliance & HR Projects

• Support managers and employees on performance, grievances, workplace concerns, investigations and disciplinary matters.
• Ensure HR practices comply with Malaysian employment requirements, company policies and internal governance standards, including maintaining relevant policies and SOPs.
• Prepare workforce reports and translate HR metrics into practical insights and recommendations.
• Support audits, recruitment, training and regional HR initiatives as required.

Requirements

• Bachelor’s degree in HR, Business Administration or related discipline, with 3–5 years of hands‑on HR experience.
• Experience in EOR, HR outsourcing, payroll, staffing or manpower services, including managing outsourced employees, vendors, KPIs and SLAs. Regional APAC HR exposure, recruitment/vendor‑led hiring, and HR analytics/reporting experience would be advantageous.
• Strong Malaysia payroll experience is mandatory, including processing, reconciliation, statutory contributions and employee queries.
• Experience managing the end‑to‑end employee lifecycle and good knowledge of Malaysian employment practices and statutory requirements.
• Able to work independently, take ownership and proactively drive issues to resolution.
• Strong stakeholder management, communication, problem‑solving and attention to detail.
• Comfortable with HR systems, Excel and HR reporting.
• Strong English and Mandarin communication skills for engagement with regional stakeholders and vendors.

Contract Type: 1-year renewable contract, subject to performance and business needs.
