Job summary

VAT GROUP in Batu Kawan, Malaysia, is seeking an Order and Material Specialist to ensure seamless order fulfilment and supply continuity. You will align demand, materials, warehousing and logistics to meet delivery commitments, working across Materials Management, Warehouse and Logistics.

Responsibilities

• Oversee end-to-end order fulfillment between VAT Headquarter and VAT MY for assigned product series.
• Flag special customer requests and communicate to VAT MY team promptly.
• Coordinate shipment documents and requirements with Logistics for orders.
• Download open orders from ERP (D365) daily for tracking.
• Prioritize tasks to meet KPIs, especially On-Time Delivery.
• Sort overdue orders and reschedule in D365 with planner input.
• Check stock availability for today and tomorrow to reduce delays.
• Weekly First Article Inspection (FAI) meeting with stakeholders and PQE.
• Ensure confirmation-required orders are filled in by CS/planner.
• Provide information to internal/external customers if shipment can't meet schedule.
• Check transfer orders and ensure FG ready, packed.
• Plan rework orders triggered by quality team.
• Perform other duties as assigned by supervisor/management.

The Order and Material Specialist plays a critical role in ensuring seamless order fulfilment and continuity of supply to customers by working closely with internal stakeholders and external partners. The role is responsible for managing the endtoend order management cycle, aligning demand, materials availability, warehousing, and logistics to meet customer delivery commitments.

As part of a global leading manufacturer of high-performance vacuum valves, this position supports scalable operations in line with business growth. The specialist acts as a key interface between Materials Management, Warehouse, and Logistics functions to drive continuous improvement in ontime delivery, product quality, and overall product cost across assigned product lines.

Your Responsibilities Include, But Not Limited To

• In charge of overall order fulfillment activity between VAT Headquarter & VAT MY orders for the assigned product series.
• Alert on special request/ requirement from customer and convey timely to VAT MY team.
• Work with Logistic personnel on all required shipment documents and requirements of orders (e.g. end customers, sales organisations, VAT Headquarter) for shipment arrangement.
• Download all open orders from ERP system, D365 on daily basis to for tracking purposes.
• Prioritize and manage key tasks to deliver KPI’s against target especially On Time Delivery (OTD).
• Sorting out past due orders and reschedule in D365 with updates from respective planners.
• Always check for stock availability for current day and next day to reduce past due orders and improve OTD.
• Weekly First Article Impaction (FAI) meeting with key stakeholders, planners and product quality team (PQE) for impacted orders.
• Ensure waiting for confirmation orders is filled in with CSD based on confirmation from planner.
• Providing info for internal & external customers if order cannot ship as per schedule.
• Check for transfer order (TO), put away, FG ready and packed orders
• Planning rework order upon triggered by quality team
• Any other duties as assigned by superior/management.

Minimum Qualification

• Minimum Degree holder in Supply Chain and/or Business Management
• Strong analytical skills coupled with the ability to present results clearly and compellingly
• Strong communication skill & cross function collaboration, ability to communicate with crossfunctional team and management level.
