Job summary

INNOVAIRRE COMMUNICATIONS (ASIA) LIMITED in Malaysia is seeking an Operations Assistant (Operations Support) to assist the Operations team with order processing, documentation, shipment coordination, scheduling, and daily operational tasks.

You will prepare logistics documents, enter orders, track shipments, coordinate with suppliers and logistics partners, maintain records, and support reporting and dashboards.

Qualifications

• Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, Logistics, Operations Management, or related disciplines.
• Fresh graduates are welcome to apply.
• 1–3 years of experience in logistics, order processing, operations support, or supply chain coordination is an advantage.
• Good command of English and Putonghua (spoken and written).
• Proficient in Microsoft Office applications, especially Excel.
• Experience with ERP systems, order management systems, or inventory systems is an advantage.
• Strong organizational and multitasking skills.
• Good analytical and problem-solving abilities.
• Detail-oriented with a high level of accuracy.
• Good communication and interpersonal skills.
• Ability to work independently and as part of a team in a fast-paced environment.

Responsibilities

• Prepare and maintain logistics and operational documents, including purchase orders, shipping documents, packing lists, and customer-related paperwork.
• Support order processing activities and ensure timely and accurate order entry and tracking.
• Coordinate production schedules, shipment arrangements, and delivery timelines with suppliers, factories, and logistics providers.
• Monitor order status and follow up on outstanding issues to ensure on-time delivery.
• Maintain accurate records of orders, inventory movements, and operational data.
• Assist in generating reports and updating operational dashboards for management review.
• Communicate with internal departments, customers, suppliers, and logistics partners regarding order and shipment status.
• Support inventory coordination and stock monitoring activities.
• Ensure documentation complies with company procedures and customer requirements.
• Identify opportunities to improve operational efficiency and support process improvement initiatives.
• Provide general administrative and operational support to the Logistics and Operations team.
