Job summary

Device Technologies invites a dedicated customer service professional to join Avant-Med Sdn Bhd, its newly acquired subsidiary in Malaysia, to deliver exceptional support to customers and internal teams.

You will handle calls and emails, process orders accurately, manage registrations in vendor systems, coordinate deliveries with logistics, resolve backorders, and collaborate with sales, RAQA and warehouse to ensure timely, compliant operations.

Qualifications

  • Over 3 years' relevant experience in customer service and order processing.
  • Good communication and interpersonal skills.
  • Proactive, detail-oriented, able to multi-task and adapt to change.
  • Ability to work independently and as part of a team.
  • Proficient in Microsoft Office and familiar with ERP systems.
  • Experience in medical devices, biotechnology or related industry preferred.

Responsibilities

  • Handle phone calls and email enquiries from customers and colleagues

  • Manage vendor registration, order receipt, tender and billing submission
  • Coordinate with Logistics to arrange deliveries and provide delivery information

Key Responsibilities:
  • Handle phone calls and email enquiries from customers and colleagues
  • Accurate and prompt order processing
  • Handle customer portal or vendor system for vendor registration, order receipt, tender and billing submission
  • Work with Logistics on delivery arrangements and provide delivery information to customers in a timely manner
  • Work with Sales and Customers regarding back orders, pricing, contracts, deliveries, returns, billings, etc.
  • Work with the warehouse team ensuring accurate batch picking, on-time delivery to customers, duly signed PODs, etc.
  • Responsible for ensuring that FEFO procedure is observed by the warehouse
  • Regular inventory reconciliation to ensure stock accuracy
  • Assist in external/internal audits and stock take
  • Coordinate with Sales, RAQA and the warehouse on product complaints, non-conforming product returns, product/batch recall, etc.
  • Ensure full compliance with internal standards and regulatory requirements
  • Participate in Continuous Improvement project and system testing as required
  • Maintain a good filing system and ensure documents are filed in a proper and timely manner
  • Cover team members when they are on leave
  • Follow company rules and regulations as stipulated in the company policy

Experience required:
  • Diploma or University degree in Business, Supply Chain or Logistics
  • More than 3 years' relevant experience in customer service and order processing
  • Good communication and interpersonal skills
  • Proactive, attention to details, ability to multi-task and adapt to changes
  • Proficient in Microsoft Office, namely Word, Excel and Outlook
  • Experience working with ERP system (preferably SQL)
  • Ability to work well independently and as part of a team
  • Good understanding of local import and export regulation
  • Prior experience in medical devices, biotechnology or related industry is preferred
