An events management company in Kuala Lumpur is seeking an experienced Operations Leader to oversee daily operations and ensure the successful execution of events. The ideal candidate will have 5–8 years in operations, with strong leadership and problem-solving skills. Responsibilities include managing team operations, fleet maintenance, and cost efficiency. Applicants should be comfortable in fast-paced environments and capable of multitasking. This role offers an opportunity to make a significant impact in a dynamic company.
Lead and manage daily Operational activities.
Ensure smooth Planning, Execution, and closing of all Events including Event Logistics, Operations and Event Setup Activation.
Work closely with the Internal Teams to ensure Event requirements are fully supported with manpower, trucks, equipment and timelines.
Build a disciplined, responsible, and service-driven Operations culture.
Oversee scheduling, deployment, discipline, punctuality, grooming and SOP compliance of all Event Specialist (Driver).
Ensure Team readiness through continuous training, guidance, coaching, performance evaluation and improvement plans.
Prepare contingency plans and respond quickly to last-minute changes.
Maintain a positive, motivated and high-performing Operations Team culture.
Ensure all Trucks are in top working condition, roadworthy and aligned with Event requirements.
Liaise with Workshop and Maintenance Suppliers to resolve repairs, breakdowns and servicing.
Ensure preventive maintenance schedules are followed without affecting Event readiness.
Maintain technical SOPs for Event Setups and Truck systems.
Oversee all Warehouse processes, including equipment movement, Event tools, consumables and technical items.
Perform regular QC checks and enforce proper storage, packing and equipment handling.
Monitor and track inventory accuracy, stock levels and QC of all Operational items.
Conduct audits to prevent loss or damage.
Monitor Operational cost efficiency and implement cost-saving initiatives.
Source new suppliers when current prices become less competitive to ensure cost efficiency.
Support management in budgeting, conduct Supplier evaluation, negotiate pricing, cost/quotations comparison, expense optimisation and maintain Supplier relationships.
Ensure Operations cost (Including Fuel, Manpower, Repairs, Logistics and Inventory Purchasing) always run at an optimal cost without compromising quality, safety or reliability.
Handle the sourcing, evaluation and procurement of new Operational assets (E.g, Truckbox, Truckheads, Event Box, Lithium Batteries, Solar System, LED Screen and other assets required by the Company).
Give accurate requirements to Suppliers and ensure quotations match actual needs.
Perform cost comparison and evaluate the best options before purchase.
Maintain and strengthen SOPs for Operations, fleet, equipment, and manpower.
Ensure all monthly mandatory tasks are completed, including:
Respond to Operational messages promptly and maintain high responsiveness, including urgent matters outside standard working hours due to the nature of Event Operations.
Use Excel spreadsheets to organise data, track KPIs, and manage budgets.
Prepare reports on fleet, manpower, KPI performance, and cost.
Analyse data to identify inefficiencies and propose improvements.
Support management with strategic planning and Operational forecasting.
5–8 years in Operations, Logistics, Fleet Management or Event Operations.
At least 2–3 years leading teams in a Managerial or Supervisory role.
Strong problem-solving under time pressure and fast decision-making capability.
Excellent leadership, people management, coordination, planning, scheduling, organising and communication skills.
Ability to multitask and work under pressure.
Proficient in Excel skills and spreadsheet reporting ability.
Good technical understanding of Trucks, equipment, and Event setup.
Strong cost-management and Supplier negotiation skills
High responsibility, discipline, and responsiveness
Able to support Operational matters after office hours due to the nature of Event Operations.
Comfortable working in fast-paced Event environments.
