Job description

Job Responsibilities
  1. Provide operational and administrative support for the movement and delivery of heavy machinery.
  2. Liaise with government agencies including DOSH, PUSPAKOM, JPJ, and others to schedule inspections and ensure compliance.
  3. Prepare handover checklists, warranty documents, and user manuals.
  4. Record the delivery date to determine the official warranty start date.
  5. Ensure all documentation is filed and updated in the internal system.
  6. Key in and manage accurate data records in the internal system (inventory, delivery, service schedules, etc.).
  7. Process documents in the accounting system such as invoices, quotations, and petty cash claims; track and file inspection reports.
  8. Manage correspondence, including handling phone calls, emails, and written communication in a timely and professional manner.
  9. Act as a liaison between departments to ensure smooth communication, better workflow, and task coordination.
  10. Work closely with internal teams to ensure timely completion of tasks and effective communication.
  11. Arrange courier services for document dispatches, spare parts, and handover materials as needed.
  12. Monitor and report delivery/inspection progress to the operations team and management.
  13. Perform any ad hoc tasks assigned by superiors to support day-to-day operational needs.
  14. Troubleshoot and ensure day-to-day tasks are executed smoothly and promptly.
Candidate Requirements
  • Nationality: Malaysian
  • Working Hours: Able to work on alternate Saturdays (1st & 3rd Saturday every month) to ensure smooth business operations.
  • Language Proficiency: Fluent in Mandarin (spoken and/or written)
  • Experience: Minimum 1 year liaising with government agencies such as DOSH, PUSPAKOM, and JPJ.
  • Skills:
    • Ability to multitask effectively.
    • Strong communication skills, including handling phone calls, emails, and written correspondence in a timely manner.
  • Professionalism: Must demonstrate a good professional attitude and manner.
