Job summary

AIST Malaysia Sdn. Bhd. is seeking a Talent Acqus & Employee Onboarding Specialist to create a welcoming and efficient experience for new hires while supporting end-to-end recruitment for junior- and mid-level roles.

You will collaborate with hiring managers to move candidates smoothly from intake through offer and handover to onboarding. The role emphasizes onboarding coordination, feedback collection, and continuous improvement of the employee experience within a hybrid work setup.

Responsibilities

• Coordinate preboarding, orientation, required documents, equipment, and system access for new hires.
• Support end-to-end recruitment for junior- and mid-level vacancies, including gathering role requirements, preparing job postings, sourcing and screening candidates, coordinating interviews, collecting feedback, and supporting offers.
• Maintain clear communication with candidates throughout the recruitment process and provide a smooth handover from recruitment to onboarding.
• Work with managers and HR to plan role-specific onboarding and track 30-, 60-, and 90-day milestones.
• Check in with new employees, gather feedback, and resolve onboarding issues.
• Conduct exit interviews and summarize key themes while maintaining confidentiality.
• Research the company’s employee value proposition (EVP) and monitor employee reviews for recurring feedback.
• Coordinate employee NPS and other surveys; report results and support follow-up actions.
• Use feedback and survey findings to recommend improvements to the employee experience.
• Help mediate employee-company concerns and internal conflicts/misunderstandings, ensuring respectful communication and appropriate follow-up.
• Maintain accurate records and protect confidential employee information.
