Working within a team, you will be in daily contact with our clients and sales offices, processing bookings, answering questions and creating travel itineraries. A good Reservations Officer is focused on providing the best service/advise to our customers, has good product knowledge and keeps looking to improve it, has a professional mindset and a passion for travel in his/her work and at the same time is supporting the Company Sustainability initiatives.
Responsibilities
- Book hotels, excursions, special activities, restaurants, transfers, boat忍, rental car under immediate supervision of the TC.
- Request hotel bookings and other services.
- Check if the booking is on correct dates, room type, special remarks, and price once they receive the confirmation.
- Inform the TC if the room is not available or if there is any discrepancy and offer an alternative nearest date.
- Make sure the booking is confirmed within 24‑48 hours max upon request.
- Save the supplier confirmation and invoice in theysig booking folder.
- Request the invoices from the hotel and save them in the folder after checking that the cost is correct with TP.
- Change the booking service line status in TP when confirmed.
- Elaborate the booking confirmation document with booking confirmation number if any.
- TC must check after the booking is completed and acknowledge closing the task that has been checked and corrected.
- Send the invoice to accounts following the SOP (mentioning Payment Due date (PD) in the email subject).
- Make sure the hotel applies tactical offers/benefits if any. (obie refer contract rates before sending the booking as some hotels need to mention the booking code in order to apply the offer, especially for city/island/beach hotels).
- Check hotels availability on behalf of the TC. In case it needs to hold rooms, always double‑copy to RO to avoid forgetting.
- Be in charge of bookings generated through EXO Connect, sending the confirmation and invoice to the agent.
- Delete passports of veggies after one month of the trip. Make sure the TC doesn’t store the passports in the booking folder but always in the passport folder.
- Check that all the booking folders are completed by CI.
Qualifications
- Bachelor’s Degree/Diploma in Hospitality, Tourism, Business or other related field.
- Good command of written and spoken English. Advantage on knowledge of other languages such as Spanish, German or French (depending on departmental assignment).
- Understanding and interest in sustainability and responsible tourism is a plus.
