Job summary

Tenby Schools Penang is seeking an Intern Accounts Receivable Executive to join the Finance Department on a contract or interim basis for six months. The role focuses on credit control, collections, and maintaining healthy cash flow to support financial performance.

The intern will assist with invoicing, debt collection, and supporting the finance team in daily tasks, with exposure to a multicultural educational environment. Strong communication and attention to detail are essential.

We are looking for a highly efficient and dynamic Intern Accounts Receivable Executive to join the Finance Department at Tenby Schools Penang on a contract or interim basis for six months. You will administer the credit control function, ensuring all outstanding debts are collected on time. You will be critical in managing our credit and collections processes, ensuring timely payment collection and minimising credit. You will also contribute to maintaining a healthy cash flow and optimising our financial performance.

Purpose of Role

The Executive is responsible for managing the school's accounts receivable function, ensuring accurate and timely collection of payments, maintaining financial records, and providing support to the finance team. The role requires strong attention to detail, excellent communication skills, and the ability to work effectively in a multicultural environment.

Key Responsibilities

Plan and prepare termly fee invoices, cross referencing this with student enrolment and ensuring accuracy in fees charged.

Responsible for the credit control function, which includes collections, review of aging debts, sending regular updates on debtors ‘status to management, follow-up actions on slow paymasters and monthly reports to management.

Propose collection timetables that includes prompt issuance of reminder letters and suspension letters.

Propose & plan for staggered payments where required ensuring collections are timed to ensure minimal financial risk.

Manage emails to the general finance email address by ensuring prompt response to all emails received.

Ensuring prompt response to all telephone enquiries received from parents regarding billing.

Ensure completeness in the collection of any supplementary fees charged for trips, events, extracurricular activities etc.

Handles queries from parents with regards to fees and invoicing matters.

Monitor daily entries on bank statement to ensure all cheques and collections are accounted for.

Maintain accurate and updated student enrolment data.

Support Management to resolve and trouble shoot daily financial matters.

To support in meeting monthly financial accounts closing timelines as well as support in the yearly audit exercise.

At all times adhere to holding company’s and local management’s policies, standard operating procedures, accounting treatment, accounting systems, internal controls system and reporting requirement.

To perform any other jobs delegated by your supervisor and/ or management from time to time.

Requirement

Degree In Bachelor of Accounting, CPA/ACCA/CIMA qualification or equivalent

At least three years’ experience in a similar role

Proficient in MS Office tools, particularly Excel

Excellent organizational, problem solving and interpersonal skills

Self-motivated, proactive, committed & a team player

Ability to multi-task and work independently to meet deadlines

Good command of written & spoken English, Bahasa Malaysia & Mandarin to effectively communicate with our diverse client base and stakeholders.

Familiarity with NetSuite Oracle accounting system will be added advantage
