Job summary

Tenby International School Setia Ecohill is seeking an experienced Senior HR Executive to provide comprehensive HR operational support across the school.

You will manage the full spectrum of HR functions, including payroll, recruitment, statutory compliance, employee records, benefits, taxation, work permits, HR reporting and staff development, ensuring HR operations are delivered accurately, efficiently and in accordance with company policies and Malaysian employment legislation.

Qualifications

• Bachelor’s Degree or Diploma in Human Resources, Business Administration, Management or a related field.
• Minimum 3 years of relevant HR experience, preferably within education or service environments.
• Strong knowledge of full-spectrum HR operations including recruitment, onboarding, payroll, employee records, benefits, performance management and staff development.
• Good knowledge of Malaysian employment legislation and statutory requirements (EPF, SOCSO, EIS, PCB/MTD, LHDN).
• Experience in expatriate HR administration including work permits, tax clearance and immigration matters.

Responsibilities

• Handle full spectrum HR operations including monthly payroll, recruitment, statutory payments, HR reporting and headcount budgeting.
• Ensure HR documents are filed systematically and compliant with management and government requirements.
• Communicate HR matters effectively to all staff in a timely manner.
• Prepare and maintain HR reports and records including attendance and medical claims.
• Assist in HR budgeting, performance appraisals, bonuses and salary reviews.
• Ensure staff are covered by medical and group personal accident insurance plans.
• Assist staff with claims processes and tax declarations for employer and expatriates.
• Plan staff trainings to drive development and retention; support broader school administration as needed.

ISP Malaysia - Tenby International School Setia Ecohill is seeking an experienced and proactive Senior HR Executive to provide comprehensive HR operational support across the school. The successful candidate will manage the full spectrum of HR functions, including payroll, recruitment, statutory compliance, employee records, benefits, taxation, work permits, HR reporting and staff development, ensuring that HR operations are delivered accurately, efficiently and in accordance with company policies and Malaysian employment legislation. The school has been growing quickly over the past three years, with an increasingly diverse workforce and evolving operational needs. The successful candidate will be expected to work closely with school leadership and staff, provide timely and effective HR support, maintain high standards of compliance and documentation, and contribute to HR initiatives that support employee engagement, development and retention. The role will also provide support across wider school administration and operational matters as required.

Senior HR Executive - Key Responsibilities

• Handle full spectrum human resource (HR) operation which should include preparation of monthly payroll, recruitment process, ensuring statutory payments are in order, submission of HR reports, ensuring headcount is within budget, adhere to company recruitment policy and Malaysia labour law, tax clearance for resigned staff, preparation of EA forms for annual company tax, work permit application, and any other related job to HR operation.
• Ensuring all HR document are filed systematically and according to the latest requirement of management and government.
• Communicate effectively to all staff about HR related matters on timely manner.
• Prepare, update and maintain HR reports and records including employees record, attendance and leaves records, medical claims; etc.
• To assist in the administration of the HR budgeting, annual performance appraisal, bonuses and salary review exercise.
• To ensure all staff is covered with medical and group personal accident insurance plans.
• Assist staff in claims process.
• Responsible in preparation of tax declaration for the employer as well as for all expatriate staff.
• To actively plan staff trainings as to drive the staff development and staff retention initiatives.
• To perform any other duties related to school administration as and when required.
• To undertake any other HR functions and ad-hoc assignments or duties as and when assigned from time to time.

Skills, Qualifications and Experience

• Bachelor’s Degree or Diploma in Human Resources, Business Administration, Management or a related field.
• Minimum 3 years of relevant HR experience, preferably within an education, international school or service-oriented environment.
• Strong knowledge of full-spectrum HR operations, including recruitment, onboarding, payroll, employee records, benefits, performance management and staff development.
• Good working knowledge of Malaysian employment legislation and statutory requirements, including EPF, SOCSO, EIS, PCB/MTD, LHDN and employmentrelated compliance.
• Experience in expatriate HR administration, including work permits, tax clearance, immigration matters and related documentation.
• Strong organisational and documentation skills, with the ability to maintain accurate and confidential employee records.
• Excellent communication and interpersonal skills, with the ability to work effectively with employees, school leadership and external agencies.
• Proficient in Microsoft Office with strong attention to detail and data accuracy.
• Able to work independently, manage multiple priorities and meet deadlines in a fast-paced school environment.
• Demonstrates discretion, professionalism and a high level of integrity when handling confidential employee and organisational matters.
• Proactive, solution-oriented and able to support both HR operations and wider school administrative requirements.
