Job summary

Axcellence Consulting is seeking an experienced Payroll Specialist to manage the end-to-end monthly payroll for a large workforce in Malaysia, including basic salary, overtime, allowances, bonuses, and deductions. You will collaborate with HR and other departments to collect data, ensure accuracy and timely submission of statutory contributions, and maintain data integrity within the HRIS/payroll system.

Qualifications

• Diploma or Bachelor’s Degree in Human Resources, Accounting, Business Administration, or a related discipline.
• 5–8 years of relevant payroll experience, preferably with hands-on experience managing large-scale payroll operations within a manufacturing or multinational environment.
• Strong knowledge of the Malaysian Employment Act 1955, minimum wage requirements, and statutory payroll regulations, including EPF, SOCSO, EIS, PCB/MTD, and LHDN requirements.
• Proven experience managing payroll for both local and foreign employees, including salary processing, overtime, allowances, deductions, bonuses, arrears, reconciliation, and variance analysis.
• Proficient in HRIS/payroll systems and Microsoft Excel, with strong capabilities in data processing, analysis, reconciliation, and reporting.
• Strong analytical, problem-solving, and numerical skills, with a high level of accuracy and attention to detail.
• Able to work independently, prioritize multiple tasks, and consistently meet strict payroll deadlines in a fast-paced environment.
• Demonstrates a high level of integrity, accountability, confidentiality, and professionalism when handling sensitive employee and payroll information.
• Strong communication and interpersonal skills, with the ability to work effectively across HR, Finance, Operations, and other internal stakeholders.

Responsibilities

• Independently manage the end-to-end monthly payroll process for a large and growing workforce, covering basic salary, overtime, allowances, bonuses, deductions, salary adjustments, arrears, and other payroll-related components.
• Collaborate closely with HR and relevant departments to collect, validate, and reconcile payroll data, ensuring all information is complete, accurate, properly authorized, and submitted within the payroll cut-off timeline.
• Ensure accurate payroll calculations and timely submission of statutory contributions and filings in compliance with Malaysian regulations (EPF, SOCSO, EIS, PCB/MTD).
• Conduct pre- and post-payroll verification, payroll reconciliation, and variance analysis to identify discrepancies, investigate root causes, and implement timely corrective actions.
• Maintain accurate employee master data within the HRIS/payroll system and ensure data integrity and confidentiality.
• Prepare and maintain payroll, statutory, and management reports, and support EA Form preparation and PCB/MTD reconciliation.
• Handle and resolve employee payroll-related inquiries professionally and in a timely manner, ensuring a high level of service.
• Identify opportunities to enhance payroll processes, system automation, data accuracy, and operational efficiency, while strengthening internal controls and compliance.
