Job summary

Jora Malaysia is seeking a Fleet Administrator to maintain and update fleet records, including vehicle registrations, maintenance schedules and insurance documentation.

You will coordinate maintenance appointments with service providers, process fleet paperwork, support inventory management and prepare reports for management review. The role requires meticulous attention to detail and strong collaboration with drivers, maintenance teams and external vendors.

Qualifications

• Excellent attention to detail and accuracy in record-keeping and documentation.
• Proficiency in Microsoft Office applications (Word, Excel, Outlook) and data entry.
• Ability to work collaboratively with cross-functional teams and external stakeholders.
• Knowledge of fleet management systems or vehicle tracking software is advantageous.

Responsibilities

• Maintaining and updating fleet records, including vehicle registration, maintenance schedules and insurance documentation
• Processing fleet-related paperwork such as requisitions, repairs, maintenance requests and compliance reports
• Coordinating vehicle maintenance appointments with service providers and tracking completion of repairs
• Assisting with fleet inventory management and tracking of vehicle spare parts and equipment
• Preparing fleet reports and documentation for management review and decision-making
• Supporting the scheduling and coordination of vehicle bookings and dispatch operations
• Liaising with drivers, maintenance teams and external vendors to ensure smooth fleet operations
• Maintaining accurate databases and filing systems for easy retrieval of fleet information
