GamBit Group in Malaysia seeks a Finance Administrative Assistant to support the Finance Department with banking administration, document handling, and company secretarial coordination. You will manage submissions, signatures, and tracking across multiple entities.
The role requires a Diploma in Accounting/Finance/Business Administration and 1–3 years of relevant experience, with strong Excel and Office skills and a meticulous, confidential approach.
To provide administrative, banking and documentation support to the Finance Department, including company secretarial coordination, bank applications, corporate form submissions, bank reconciliations, filing and general finance administration. The role is responsible for ensuring documents and applications are properly prepared, submitted, tracked and maintained.
Key responsibilities
Banking Administration & Applications
Assist with opening, closing and maintenance of company bank accounts.
Prepare and coordinate bank application forms and supporting documents.
Assist with applications and updates for online banking, user access, authorised signatories and transaction limits.
Liaise with banks on documentation requirements and follow up on application status.
Coordinate signatures and supporting documents required for bank submissions.
Maintain proper records of bank accounts, authorised signatories and banking facilities.
Track outstanding bank applications and follow up until completion.
Company Secretarial & Corporate Administration
Act as the Finance team's coordinator with the appointed Company Secretary.
Assist with preparation and submission of documents or forms required for the companies.
Coordinate board resolutions, statutory forms and other corporate documentation.
Arrange and follow up on directors’ signatures and approvals.
Maintain records of resolutions, statutory documents and corporate records.
Maintain a tracker for outstanding corporate and Company Secretary matters.
Forms, Applications & Company Submissions
Assist in completing forms and applications required by banks, government agencies, regulators, service providers and other external parties.
Compile supporting documents required for applications and submissions.
Coordinate internal signatures, certifications and approvals.
Submit documents through online portals, email, courier or physical submission where required.
Monitor submission deadlines and follow up on application status.
Maintain copies and proper records of all submissions and correspondence.
Escalate outstanding or urgent matters to the Finance Manager/Head of Finance.
Prepare monthly bank reconciliations for assigned companies.
Match bank transactions against accounting records.
Identify and follow up on unreconciled transactions.
Download and maintain monthly bank statements.
Assist the Finance team in resolving outstanding reconciliation items.
Finance Administration & Document Management
Manage physical and electronic filing for the Finance Department.
Scan, rename, organise and archive documents systematically.
Maintain Finance trackers, document registers and administrative records.
Track documents pending signatures, approvals or submissions.
Retrieve documents requested by management, auditors, tax agents, banks and other stakeholders.
Coordinate courier, document circulation and delivery of original documents.
General Finance Support
Assist with basic accounting and data-entry tasks where required.
Assist with payment documentation and supporting documents.
Support month-end closing and audit preparation.
Assist in maintaining agreements, bank documents and other company records.
Provide general administrative support to the Finance team.
Perform other finance and corporate administrative duties assigned by the Finance Manager or Head of Finance.
About you
Diploma in Accounting, Finance, Business Administration or related discipline
1–3 years of relevant working experience
Experience handling bank documentation, company administration or corporate forms would be an advantage
Basic understanding of accounting and bank reconciliation
Good working knowledge of Microsoft Excel and Microsoft Office
Strong organisational and document-management skills
Detail-oriented and able to handle multiple companies, forms and submission deadlines
Able to follow up proactively with banks, Company Secretary and other external parties
Responsible and able to handle confidential company information appropriately
