Job summary

FILPAL is seeking a Facility, IT Systems and Security Manager to lead and manage IT infrastructure, cybersecurity, physical security, and facility operations across the Group.

The role covers centralised file storage, access control, policy development, and vendor coordination across Malaysia, Singapore, and other regions. A hands-on leader with strong documentation and multi-site coordination is required.

Qualifications

• Bachelor in Computer Science with cybersecurity focus.
• At least 3 years of industrial experience.

Facility, IT Systems and Security Manager

JOB OVERVIEW

The Facility, IT Systems and Security Manager is responsible for leading and managing all IT infrastructure, cybersecurity, physical security, and facility operations across the company and its group of companies and affiliated entities (the "Group"). This role requires a hands-on approach to design, implement, and maintain robust IT systems and security frameworks while overseeing facility management, multi-site coordination, procurement, and project execution to support the Group’s operational efficiency and growth.

1. Building & Pioneering IT Foundation

• Design, implement, and manage a centralised, secure group-wide file storage and access system (e.g. cloud or hybrid).
• Manage IT systems administration, including user accounts, access control, permissions, and security policies across the Group.
• Develop, establish, implement and enforce cyber hygiene awareness, IT security policies, firewall rules, device standards, and data backup SOPs.
• Develop clear SOPs for secure and orderly access to IT resources by employees across departments and multiple office locations.
• Handle the setup, implementation, maintenance, and upkeep of company servers, High-Performance Computing (HPC), and related infrastructure, liaising with vendors when necessary.

2. IT Governance, Documentation & Compliance

• Streamline and implement systems for tracking and managing internal documentation and controlled records.
• Administer Google Drive and other collaboration platforms with proper access controls and sharing permissions.
• Establish and maintain comprehensive IT asset registers, including tagging, serial numbers, warranty tracking, and inventory management.
• Oversee issuance, tracking, and recovery of company-owned IT equipment (laptops, desktops, peripherals, etc.).
• Maintain oversight of virtual assets, licenses, systems, and access rights across the Group.

3. Systems, Applications & Infrastructure Support

• Evaluate, recommend, and manage email systems and other critical applications based on security, scalability, and cost considerations.
• Handle employee onboarding and offboarding processes, including email setup/deactivation, IT asset issuance and recovery, handover procedures, and maintaining accurate asset records.
• Provide hands-on technical support and troubleshooting for IT systems, networks, hardware, and connectivity issues across all sites.
• Assess and coordinate hardware specifications with suppliers when required.

4. Security Systems & Physical Access Control

• Manage and maintain physical security systems, including facial recognition access, door access, CCTV, alarm systems, and related equipment, liaising with vendors only when necessary.
• Handle the setup, configuration, maintenance, and upkeep of Wi-Fi, internet services, wireless printers, and network infrastructure across the Group.
• Ensure consistent security standards for both digital and physical assets.

5. Facility Management & Multi-Site Operations

• Lead facility-related projects, including renovation, expansion, and maintenance of company premises.
• Liaise with building management, landlords, incubation space operators, and relevant authorities for all company sites.
• Coordinate facility operations and support across multiple locations in Malaysia, Singapore, and other regions.
• Oversee office setup, space planning, and infrastructure readiness for new or expanding sites.

6. Procurement, Projects & External Liaison

• Evaluate needs, request quotations, prepare proposals, and proceed with purchasing of IT and facility-related items (e.g., laptops, desktops, monitors, conference systems, new or refurbished equipment, etc.) after obtaining approval.
• Lead and support internal and external projects as needed, taking ownership to ensure timely delivery and alignment with company objectives.
• Effectively liaise with internal stakeholders, vendors, service providers, and partners on IT, facility, and security-related matters.

QUALIFICATIONS

Bachelor in Computer Science, specialization in cybersecurity.

EXPERIENCE

At least 3 years of industrial experience.

SKILLSETS

• Strong working knowledge of Windows, Linux, and macOS operating systems and environments.
• Proficient in Microsoft 365, Google Workspace, and other collaboration platforms.
• Solid understanding of core networking concepts, including DNS, VPN, firewalls, routing, and troubleshooting.
• Strong knowledge of cybersecurity best practices, frameworks (e.g., ISO 27001, NIST), and threat mitigation strategies.
• Familiarity with data backup, recovery tools, and disaster recovery procedures.
• Excellent documentation, communication, and problem-solving skills.
• Ability to manage multiple sites and stakeholders across Malaysia, Singapore, and other regions.
• Proven ability to work independently with minimal supervision and a strong self-learning attitude.
• Good emotional intelligence (EQ) and the ability to enforce policies effectively.
• Strong organisational skills with the ability to prioritise tasks, manage time effectively, and handle multiple responsibilities across IT, facility, and security domains.
• Strong knowledge of facility management, procurement processes, and vendor coordination.
