Job summary
A leading retail company is seeking an administrative officer to support tenancy management. Responsibilities include preparing documents, maintaining tenancy databases, and liaising with various departments to ensure smooth processes. The ideal candidate should have a diploma in Business Administration and 1-2 years of relevant experience, along with strong Microsoft Office skills.
Qualifications
- 1–2 years’ experience in administration, preferably in property management.
- Detail-oriented with strong organisational and follow-up skills.
- Good communication and interpersonal abilities.
Responsibilities
- Prepare agreements, letters and related documents.
- Follow up on agreement signing with tenants and landlords.
- Maintain accurate tenancy databases and reports.
- Liaise with Finance to confirm payments.
- Ensure tenancy documentation adheres to statutory requirements.

Education
Minimum Diploma/Degree in Business Administration
Responsibilities
- Prepare agreements, letters and related documents.
- Follow up on agreement signing with tenants (including payments related to agreements – tenancy administrative fee, stamp duty and/or other charges), landlords and internal signatories to ensure timely completion.
- Maintain proper filing in both physical file and e-filing system.
- Maintain accurate tenancy databases and agreement & payment status reports.
- Liaise with Finance dept to confirm receipt of payments and update records accordingly.
- Assist in preparing reports, presentations, and ad-hoc assignments.
- Liaise with Sunway Malls’ Leasing, Tenancy Admin, Finance, and other departments to facilitate smooth documentation and payment processes.
- Assist in obtaining approvals, signatures, and supporting documents from relevant parties.
- Ensure all tenancy documentation and payment processes adhere to statutory requirements, Sunway Malls’ internal policies and audit standards.
- Other ad-hoc assignments.
Qualifications
- Minimum Diploma/Degree in Business Administration, Management, or related field.
- 1–2 years’ experience in administration, preferably in property management or tenancy administration.
- Proficient in Microsoft Office (e.g. Excel, Word, Powerpoint).
- Detail-oriented with strong organisational and follow-up skills.
- Good communication and interpersonal abilities.
