INNIO GROUP SDN. BHD. in Malaysia seeks an experienced Executive Assistant to support the Group Chief Operating Officer.
You will manage the COO's calendar, coordinate critical initiatives, prepare materials, and act as a gatekeeper for executive priorities, delivering concise updates to senior management. You will liaise with board members and subsidiaries, ensure timely reporting, and maintain governance standards in a public-listed company environment, while handling sensitive information
As the Group COO's trusted Executive Office partner, you will help ensure that priorities translate into actions, follow-up and results. You will manage information flow, coordinate critical initiatives, monitor commitments and provide the Group COO with clear, timely and decision-ready information. This is an opportunity to work closely with senior management in a Public Listed Company environment, gaining exposure to strategic initiatives, corporate governance, Board matters and cross-functional business operations.
Key responsibilities
Manage the Group COO's calendar, meetings, travel arrangements and executive priorities
Prepare meeting materials, claims, correspondence and supporting documents
Monitor key deadlines, regulatory submissions and reporting timelines
Act as the Executive Office gatekeeper — screening requests, prioritising matters and ensuring appropriate follow-up
Coordinate strategic initiatives and cross-functional projects under the Group COO
Track action items, deliverables, milestones and management commitments
Follow up with subsidiaries, business units and department heads to ensure timely execution
Identify delays, emerging issues and potential risks, and escalates them promptly
Serve as a key liaison between the Group COO and internal/external stakeholders
Consolidate operational, financial and business information into concise executive-level updates
About you
Bachelor's Degree in Accounting, Finance, Business Administration or a related discipline
6+ years of relevant experience in Executive Support, Personal Assistance, Administration or a similar role, preferably supporting C-suite executives or working within a corporate/Board environment
Strong Microsoft Office skills, particularly Excel & PowerPoint, with an openness to digital and AI productivity tools
Excellent English communication, business writing and minute-taking skills, with proficiency in Bahasa Malaysia
Strong organisational, analytical, problem-solving and stakeholder management capabilities
Professional and confident when dealing with senior management, Board members and external stakeholders
Mature, proactive, resourceful and highly dependable, with sound judgement, discretion and integrity
Able to work independently, manage multiple priorities and anticipate what the Group COO needs before being asked
Good understanding of corporate governance and regulatory requirements, particularly within a Public Listed Company environment
Willing to work beyond normal hours when required, particularly during Board meetings, financial reporting periods and corporate exercises
