We are looking for a highly organized, detail-oriented and proactive Executive Assistant to support the CMO in daily business coordination, marketing projects, documentation, follow-ups and administrative matters. This is not a traditional administrative assistant role. We are looking for someone who can understand tasks quickly, organize priorities, follow up independently and help drive projects to completion in a fast-paced international working environment.
Key responsibilities
A. CMO Daily Support
- Manage and organize the CMO’s daily tasks, priorities and follow-up items.
- Prepare meeting materials, meeting notes and action items.
- Track pending matters and remind relevant parties of deadlines.
- Assist with business meetings, schedules, events and travel arrangements when required.
- Prepare information and documents needed before meetings or discussions.
B. Marketing & Project Coordination
- Coordinate and follow up on marketing campaigns, events and market-related projects.
- Communicate with Design, BD, Technical, Translation and other internal or external parties.
- Track the progress of posters, presentations, videos, copywriting and other marketing materials.
- Maintain clear owners, deadlines and deliverables for ongoing projects.
- Proactively report delays, missing information or potential issues to the CMO.
C. Documentation & Information Management
- Organize Google Drive, Notion and internal working documents.
- Maintain presentations, proposals, marketing materials, meeting notes and project records.
- Manage file naming, folder structure and document version control.
- Ensure the latest and correct version of important materials can be located quickly.
D. Content & Marketing Support
- Assist in organizing English and Chinese content.
- Support presentations, announcements, social media materials and business documents.
- Use AI tools for research, translation, content organization and productivity.
- Check important details such as dates, amounts, campaign rules, names and language versions.
Requirements
- Good written and spoken English.
- Able to communicate effectively in Chinese.
- Strong attention to detail and sense of responsibility.
- Strong follow-up and task-tracking ability.
- Able to work independently and organize multiple tasks or projects.
- Able to identify priorities instead of treating every task equally.
- Good communication skills and comfortable coordinating with different teams.
- Able to adapt to a fast-paced / startup working environment.
- Basic understanding of marketing, business or project coordination.
- Comfortable using Microsoft Office / Google Workspace and PowerPoint / Google Slides.
- Willing and able to use tools such as ChatGPT, Canva and Notion to improve productivity.
