Job summary

Synthomer Malaysia (Korn Ferry) seeks a logistics professional to coordinate weekly distribution with internal teams and LSPs, ensuring OTIF and regulatory compliance. You will manage inbound/outbound activities, resolve issues with freight partners, and maintain essential shipping documents.

The role emphasizes safety, ISO/QMS adherence, and accurate SAP accruals. You will also generate KPI reports, support corrective actions, and drive continuous improvement across logistics processes at the

Responsibilities

• Plan, coordinate weekly distribution with CS, Warehouse, Planning and LSPs.
• Resolve inbound issues with planners, freight forwarders and warehouses.
• Initiate corrective actions on LSP performance and closures.
• Ensure transport units meet site requirements and turnaround times.
• Verify actions with site assessments and operation checks.
• Ensure SAP accruals and timely invoicing reconciliations.
• Maintain PODs, shipping docs, customs declarations and records.
• Adhere to SHE, QMS, and ISO requirements for a safe, compliant site.
• Close audit findings and actions related to ISO/QMS.
• Ensure import/export compliance including declarations and permits.
• Create PR & GRN for CCS & HPPM logistics needs.
• Prepare weekly/monthly logistics KPI reports for CCS and HPPM.
• Investigate logistics complaints, short weight, supplier issues and losses.

Purpose of the Job:

1. 1.Manages Logistics Service Providers (LSP) support on deliverables and effective operation with timely dashboard report
2. 2.Support and monitors LSP compliance to legal and statutory requirements and contractual obligations
3. 3.Plan, schedule and facilitate daily distribution with Customer Service, Warehouse, Planner and LSP 4.Support transportation planning and coordinate deliveries to meet customer’s requested ETA and achieve on time in full (OTIF) performance
4. 5.Support planners in resolving inbound logistics issues to ensure timely receipt of raw materials, packaging materials, and intercompany transfers, thereby maintaining continuity of production and inventory availability.
5. 6.Ensure compliance with all applicable regulatory, customs requirements. Import/export and trade requirements for inbound and outbound logistic activities
6. 7.Act as the Logistics focal point for Safety, Quality Management System (QMS), and Environmental activities at the Kluang site.
7. 8.Initiate and coordinate LSP complaints and corrective actions (8D reports), ensuring timely response and closure with the necessary supporting documentation.
8. 9.Create/check/change freight cost for all local/export/courier/internal transfer/returnable totes & IBC on daily basis.

Main Accountabilities:

1. 1.Plan, coordinate, and execute weekly distribution schedules with Customer Service, Warehouse, Planning, and Logistics Service Providers (LSPs) to meet customer requirements and delivery commitments.
2. 2.Work closely with planners, freight forwarders, warehouses, and LSPs to resolve inbound logistics issues, customs and clearance challenges
3. 3.Initiate corrective and improvement action and closures on LSP performance findings on operation related
4. 4.Review and ensure all transport units to site met site requirements and effective turnaround time 5.Verify actions by LSP with site assessment and operation verification
5. 6.Engage with internal departments and LSPs to ensure accurate SAP accruals and timely reconciliation of logistics invoices and billing.
6. 7.Maintain and control logistics documentation, including Proof of Delivery (POD), shipping documents, customs declarations, import documentation, and other relevant logistics records.
7. 8.Adhere to all Site Safety, Health & Environment (SHE) policies and Quality Management System (QMS) procedures to ensure a safe and compliant working environment.
8. 9.Maintain and control ISO-related documentation, ensuring compliance with ISO standards, QMS requirements, and the timely closure of audit findings and corrective actions.
9. 10.Ensure compliance with all applicable customs and regulatory requirements related to import and export operations, including customs declarations, duties, taxes, permits, and supporting documentation
10. 11.Create PR & GRN for logistics department related both CCS & HPPM
11. 12.Prepare weekly and monthly logistics performance reports and KPIs for CCS and HPPM meetings, 13.Investigate and support the resolution of logistics-related complaints, including short weight claims, material issues, supplier delivery issues, suspected pilferage, transportation losses, and LSP performance concerns.
