Qualifications

• Experience in operating and maintaining mission-critical facilities is an advantage.
• Proficient with MS Office suite and document management.
• Strong teamwork and effective communication with diverse stakeholders.
• Able to plan, organize, and manage multiple tasks with attention to detail.

Responsibilities

• Maintain operation team training records, materials, attendance and calendar.
• Upload critical operation documents and perform regular backups.
• Handle daily mail and courier services for delivery and collection.
• Support the operation team with daily administrative tasks.
• Assist procurement process and PR/PO raising and tracking.
• Monitor PO tasks until completion and update status.
• Support finance and billing processes and service report databases.
• Coordinate overtime submission with HR and manage monthly processes.
• Update inventory management for critical equipment, tools and spares.
• Assist with contracts and monthly records for telco and utilities bills.
• Support visitor access in Visitor Management System and office supplies.
• Supervise on-site support staff (cleaner, gardener); scheduling and materials.
• Assist in setting up conference rooms and meeting facilities.
• Take and share minutes for internal meetings and provide updates to attendees.
