Job summary

Air Liquide Maritime Sdn Bhd in Malaysia seeks a Customer Service & Logistics Coordinator to manage customer requests, orders and queries for the Offshore Energies business in APAC, ensuring accurate documentation and timely responses.

You will coordinate transport bookings, DG shipments under IMDG rules, and drive end-to-end O2C processes, collaborating with commercial, finance and procurement to deliver reliable service.

Qualifications

  • Bachelor's Degree in Supply Chain Management, Business Administration, Maritime/Transportation or equivalent.
  • 1-3 years experience in Customer Service, Logistics Coordination, Order Management, or Freight Forwarding.
  • Experience with ERP systems (Microsoft Dynamics AX or Neptune) and Google Workspace is an added advantage.
  • Understanding of Incoterms, customs clearance, CIPL, and transport safety regulations (IMDG/DG) is an added advantage.
  • Strong analytical mindset, detail-oriented, and customer-centric problem-solver.
  • Excellent written and verbal communication skills in English and Bahasa Malaysia

Responsibilities

  • Manage customer requests, purchase orders and queries via email, telephone and other channels for Offshore Energies APAC.
  • Plan and execute transport bookings across road carriers and freight forwarders, monitoring daily shipment statuses to resolve delays.
  • Coordinate shipments for Dangerous Goods (DG) and Non-DG cargoes in compliance with IMDG regulations and safety procedures.
  • Prepare, review, and manage import/export documentation, including Commercial Invoices and Packing Lists (CIPL).
  • Collaborate with commercial and operational teams to drive prompt resolution of customer issues and complaints.
  • Lead the end-to-end Order-to-Cash process to ensure accurate and timely fulfillment of customer orders.
  • Process Sales Orders, generate quotes, issue Delivery Notes, and dispatch Sales Invoices on schedule.
  • Coordinate with operations to ensure timely order fulfillment, delivery confirmation, and accurate billing.
  • Review and assemble Certificate Packages (QA/QC docs, COAs, COOs) with shipping and billing docs.
  • Partner with finance on credit collection, debtor aging follow-ups, credit/debit notes, and invoice/pricing queries.
  • Participate in month-end financial closure to ensure timely billing and accurate procurement cost accounting.
  • Utilize ERP systems and Google platforms for order tracking, shipment reporting, freight cost audits, and operational analysis.
  • Initiate purchase requisitions with procurement for business ops, handle GRN, and align with internal stakeholders; collaborate with procurement on PO for gas refills while aligning with QHSE and Supply Chain teams.

Customer Service & Logistics Coordinator

As part of InnoTech, the AL Maritime activity connects a wide range of global markets to essential molecules across borders and oceans. Air Liquide Maritime is organized along four business units, namely Offshore Energies, Cryogenic Supply, Global Rare Gases and Global Helium, and is also supporting OCEOS, a joint venture to offer CO2 shipping and barging services for CCS projects across Europe. The organisation has grown significantly over the last few years and regroups 10 sites located in 9 countries with more than 200 employees.

Air Liquide Maritime Sdn Bhd specializes in cryogenic tank and equipment rental for the offshore and maritime industries as well as in cryogenic transport of molecules, and provides a full range of repair and testing services.

The main responsibilities within this role are to manage the customer requests, purchase orders and queries received via email telephone calls and other channels for the Offshore Energies business in APAC

The aim is to be as proactive and efficient as possible, solving the customer demands and queries in a timely professional manner whilst delivering the best service possible at all times to reach an optimal customer satisfaction with respect to the AL policies and procedures.

How will you CONTRIBUTE and GROW?
1. Customer Management & Logistics Coordination
  • Serve as a primary point of contact for customers, business development managers, and commercial teams for inquiries, order processing, and account setups.
  • Plan and execute transport bookings across road carriers and freight forwarders, monitoring daily shipment statuses to proactively resolve delays.
  • Coordinate shipments for Dangerous Goods (DG) and Non-DG cargoes in compliance with international transport regulations (IMDG) and group safety procedures.
  • Prepare, review, and manage import/export documentation, including Commercial Invoices and Packing Lists (CIPL).
  • Collaborate with commercial and operational teams to drive prompt resolution of customer issues and complaints
2. Order-to-Cash (O2C) & Billing Management
  • Lead the end-to-end Order-to-Cash process to ensure accurate and timely fulfillment of customer orders.
  • Process Sales Orders, generate standard price quotations, issue Delivery Notes, and dispatch Sales Invoices on schedule.
  • Coordinate seamlessly with operations teams to ensure timely order fulfillment, delivery confirmation, and accurate billing within stipulated timeframes.
  • Review and assemble complete Certificate Packages (QA/QC documentation, Certificates of Analysis, Certificates of Origin) alongside shipping and billing documents.
  • Partner with the finance team on credit collection, debtor aging follow-ups, credit/debit note issuance, and invoice/pricing query resolution.
  • Participate in month-end financial closure to ensure timely billing and accurate procurement cost accounting.
  • Utilize ERP systems and Google platforms for order tracking, shipment reporting, freight cost audits, and operational analysis.
  • Initiate purchase requisitions with procurement for business operational requirements, handle the GRN process, and maintain alignment with internal stakeholders. This extends to include close collaboration with procurement on Purchase Orders for gas refills/affiliates while aligning with QHSE and Supply Chain teams.
