Clinic Manager (Child Specialist Clinics)
Position Summary

The Clinic Manager is responsible for overseeing the daily operations and overall performance of three Child Specialist Clinics, ensuring operational excellence, exceptional patient experience, regulatory compliance, and sustainable revenue growth.

The role requires close collaboration with Consultant Paediatricians, Clinic Assistants, and Management to ensure efficient clinic operations, high-quality patient care, and continuous improvement in service delivery. The Clinic Manager will also lead the clinic teams and drive operational initiatives.

Key Responsibilities
1. Clinic Operations
  • Oversee the daily operations of all assigned child specialist clinics.
  • Ensure smooth patient flow from registration, consultation, treatment, dispensing, and payment.
  • Maintain efficient clinic workflows to minimise patient waiting time.
  • Ensure compliance with company SOPs, Ministry of Health (MOH) regulations, and CKAPS requirements.
  • Resolve operational issues promptly and effectively.
  • Coordinate clinic maintenance and ensure all facilities remain functional and patient friendly.
  • Drive continuous operational improvement initiatives.
  • Lead, supervise, coach, and motivate Clinic Assistants and administrative staff.
  • Prepare and manage staff duty rosters, leave planning, and manpower allocation.
  • Ensure adequate staffing throughout clinic operating hours.
  • Monitor staff attendance, punctuality, productivity, and performance. Conduct staff orientation, coaching, and ongoing training.
  • Foster teamwork, accountability, and a patient-centred culture.
  • Work closely with doctors to ensure seamless clinic operations.
  • Deliver exceptional customer service and patient experience across all clinics. Build positive relationships with patients and parents.
  • Handle enquiries, complaints, and service recovery professionally.
  • Monitor patient satisfaction and implement service improvement initiatives.
  • Ensure a welcoming, child-friendly, and professional clinic environment.
  • Support patient retention and loyalty initiatives.
  • Manage medication, vaccine, consumable, and medical supply inventory.
  • Coordinate purchasing activities with approved suppliers and vendors.
  • Ensure adequate stock levels while minimising expiry and wastage.
  • Conduct monthly stock take and investigate discrepancies.
  • Monitor medical equipment servicing and calibration schedules.
  • Ensure proper storage and inventory control practices.
5. Revenue Performance
  • Monitor daily revenue performance, patient volume, and clinic productivity.
  • Prepare and submit daily sales and operational reports to Management.
  • Track key performance indicators (KPIs), including patient visits, Average Revenue Per Patient (ARPP), and service utilisation.
  • Work closely with doctors and clinic teams to achieve monthly revenue targets.
  • Monitor billing accuracy, payment collections, and operational reporting.
  • Analyse clinic performance trends and recommend operational improvements.
6. Quality, Compliance & Clinic Standards
  • Ensure compliance with MOH, CKAPS, and internal quality standards.
  • Maintain high standards of clinic cleanliness, hygiene, infection prevention, and patient safety.
  • Monitor medication expiry dates and ensure proper storage.
  • Ensure all operational documentation is complete and up to date.
  • Participate in internal audits and quality improvement initiatives.
8. Administration & Reporting
  • Prepare daily and monthly operational reports.
  • Monitor clinic KPIs and report performance to Management.
  • Maintain accurate records and documentation.
  • Coordinate vendor services and facility maintenance.
  • Ensure licences, permits, and regulatory documentation remain valid.
  • Perform any other duties assigned by Management.
Requirements Education
  • Diploma or bachelor's degree in healthcare management, Nursing, Pharmacy, Business Administration, or a related discipline.
Experience
  • Minimum 3-5 years of experience in clinic, hospital, or healthcare operations.
  • Previous experience managing multiple clinic locations is an added advantage. Experience leading and supervising healthcare teams.
  • Experience in customer service and clinic operations.
  • Strong leadership and people management skills.
  • Excellent communication and interpersonal skills.

  • Familiarity with clinic management systems is an advantage.
Working Conditions
  • Based across Mont Kiara, Publika, and Bangsar clinics.
  • Willing to travel regularly between clinic locations and attend off-site meetings or corporate events as required.
  • Able to work flexible hours based on operational needs.
  • Willing to work evening shifts when required.
  • Available to work on alternate Saturdays, weekends, and Public Holidays when operationally necessary.
  • Able to respond to urgent operational matters outside normal office hours when required.
Other Responsibilities
  • The Clinic Manager may be assigned additional responsibilities by Management from time to time, including but not limited to: Leading operational improvement and quality initiatives.
  • Supporting the opening of new clinics or expansion projects.
  • Participating in due diligence, accreditation, licensing, and compliance activities.
  • Assisting in strategic planning and implementation of new healthcare services. Undertaking any other duties reasonably assigned to support the operational and strategic objectives of the organisation.
