The Benefits Operations Specialist will be part of the People Shared Services Team and will serve as the administrative and operational enabler of the Rewards Center of Expertise (COE). This role allows the Rewards COE to remain focused on strategic program design, innovation, and governance, while ensuring employees experience consistent and reliable benefits support globally.
This role ensures the efficient execution of day-to-day benefits administration across the US, including enrolments, eligibility, vendor coordination, compliance, and reporting.
Provide day-to-day administration support for US benefits programs (e.g., health, wellness, insurance, and 401(k) retirement programs).
Maintain benefits data in BenefitSolver/or other platforms, including plan details, eligibility rules, and vendor integration review and problem-solving; partner with the Systems team on testing and enhancements.
Review and administer benefits operational processes; identify gaps and recommend improvements.
Collaborate with external vendors (e.g., insurance carriers, brokers, wellness providers, retirement administrators) to resolve employee issues and ensure seamless service delivery.
Support annual benefits cycles, including:
Assisting with insurance plan renewals (census data, rate validation, plan updates).
Coordinating with brokers and carriers on updates to plan designs and coverage.
Supporting plan setup/testing in BenefitSolver and vendor platforms.
Annual notices and filings as required.
Preparing and reviewing employee communication materials (FAQs, enrollment guides, announcements).
Support benefits compliance, ensuring adherence to US regulations (e.g., ERISA, ACA, HIPAA, COBRA) and international requirements.
Contribute to the development and enhancement of Benefits Operations SOPs (Standard Operating Procedures).
Provide additional support transition of work into Shared Services.
Global Benefits Communication – support global benefits communication and engagement efforts
Benefits Data in Workday – support implementation of benefits in Workday, maintain existing plans, prepare audits and work with stakeholders at improving processes.
Data Reporting and Dashboards – prepare benefits audits to ensure accuracy and compliance across plans: analyse benefits data in Workday; use dashboards to track metrics like enrolment rates, cost trends, employee feedback and compliance status; produce and maintain reporting to support governance, harmonisation, decision making, and future benefits initiatives. Maintain global benefits plan inventory
Partner closely with the Rewards COE, People Experience Operations, People Advisory, and regional stakeholders to ensure consistent global benefits administration
Provide additional support on global benefits initiatives led by the Rewards COE, such as the gathering of global minimum standards etc.
Workday knowledge preferred.
Detail oriented with strong organizational skills; able to manage multiple functions and projects simultaneously.
Ability to work independently, investigate, assess, and recommend improvements proactively.
Customer-centric mindset with a sense of urgency and empathy in resolving employee issues.
Flexible in adapting to changing needs and time zones; ability to support global programs and occasional early/late shifts.
Strong ethics and integrity, with the ability to handle confidential information appropriately.
Enthusiastic about learning and taking on new challenges in a dynamic environment.
Experience working in cross-functional, global teams.
General understanding of country-specific benefits legislation and ability to identify when to seek local expert advice would be beneficial.
