Job summary

E2S Logistics S/B in Negeri Sembilan is seeking an Assistant Operation Manager to support the Operation Manager in daily branch operations, ensuring efficient service delivery and client satisfaction.

The role involves supervising security personnel, coordinating manpower, ensuring compliance with SOPs and regulations, and driving process improvements. You will be acting for the Operation Manager when required and will engage in reporting, budgeting, and client coordination.

Qualifications

  • Bachelor's Degree or Diploma in Business Administration, Management, Operations Management, Criminal Justice, Security Management, or a related field.
  • Minimum 3–5 years of working experience in the security services industry or related operational environment.
  • At least 2–3 years of supervisory or team leadership experience.
  • Experience in manpower deployment, client servicing, and branch operational coordination.
  • Knowledge of security industry regulations, operational procedures, and compliance requirements.
  • Strong leadership, communication, organisational, and problem-solving skills.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Ability to work under pressure, manage multiple priorities, and meet deadlines.
  • Possess a valid driving licence and willing to travel to client sites when required.
  • Experience managing commercial buildings, shopping malls, industrial sites, or logistics operations will be an added advantage.

Responsibilities

  • Assist the Operation Manager in overseeing the day-to-day branch operations.
  • Coordinate the deployment of security personnel according to client requirements and approved manpower schedules.
  • Monitor daily operational activities to ensure smooth, efficient, and uninterrupted service delivery.
  • Ensure all operational activities comply with company policies, Standard Operating Procedures (SOPs), and client requirements.
  • Conduct regular operational and site inspections to ensure service quality and operational standards are maintained.
  • Assist in monitoring attendance, overtime, leave planning, and manpower utilisation.
  • Build and maintain positive working relationships with clients.
  • Attend client meetings together with the Operation Manager when required.
  • Handle client enquiries, complaints, and service-related issues professionally and promptly.
  • Assist in resolving operational issues and implementing corrective actions to improve customer satisfaction.
  • Ensure all client requirements and contractual obligations are fulfilled.
  • Supervise Operations Executives, Supervisors, and Security Personnel assigned to the branch.
  • Provide guidance, coaching, and operational support to team members.
  • Assist in recruiting, interviewing, onboarding, and training new security personnel.
  • Conduct toolbox briefings, operational meetings, and refresher training sessions.
  • Monitor staff discipline, attendance, grooming, and performance.
  • Support performance evaluations and identify training and development needs.
  • Review operational processes and recommend improvements to increase efficiency and productivity.
  • Assist in developing, reviewing, and implementing Standard Operating Procedures (SOPs).
  • Identify operational risks and recommend preventive or corrective measures.
  • Participate in branch operational planning and continuous improvement initiatives.
  • Ensure compliance with all company policies, security industry regulations, and statutory requirements.
  • Conduct routine audits and inspections at client sites.
  • Ensure all personnel comply with safety procedures, operational standards, and company regulations.
  • Assist in implementing emergency response procedures and incident management protocols.
  • Promote a safe and healthy working environment.
  • Assist the Operation Manager in monitoring branch operational expenses and budgets.
  • Support cost control initiatives to improve operational efficiency.
  • Monitor the utilisation of manpower, uniforms, vehicles, and operational equipment.
  • Assist in preparing operational forecasts and budget reports when required.
  • Prepare daily, weekly, and monthly operational reports.
  • Maintain accurate records of manpower deployment, attendance, incidents, client communications, and operational activities.
  • Prepare investigation reports, incident reports, and corrective action reports.
  • Submit operational updates and performance reports to the Operation Manager and senior management.
  • Respond to operational incidents, emergencies, and client escalations.
  • Coordinate investigations into security incidents and recommend corrective actions.
  • Ensure incidents are properly documented and reported within the required timeline.
  • Assist in business continuity and emergency response planning.
  • Perform the duties of the Operation Manager during periods of leave or absence.
  • Represent the branch in operational meetings whenever assigned.
  • Carry out any other duties assigned by Management from time to time.
