ASSISTANT MANAGER, FINANCE & ADMINISTRATION
The Assistant Manager will manage the Company's finance, accounting, and office administration functions. This role provides exposure to financial reporting, statutory compliance, audit coordination, treasury, taxation, company secretarial matters, and general office administration, offering opportunities for professional growth and career development within a fast-growing fabless semiconductor company.
Key Responsibilities
Finance & Accounting
- Handle full set of accounts and ensure timely month-end and year-end closing.
- Prepare journal entries, reconciliations, accounting schedules, and management reports.
- Review and process accounts payable, staff claims, and payment proposals.
- Monitor accounts receivable, customer collections, and outstanding balances.
- Monitor company cash flow position, support cash flow forecasting activities, and assist in banking-related matters.
- Preparing Company reporting packages, intercompany reconciliations, and consolidation schedules (where relevant).
- Coordinate with external auditors, tax agents, company secretaries, bankers, and regulatory authorities.
- Assist in audit, corporate tax, withholding tax, SST, transfer pricing, and e-Invoicing compliance matters.
- Coordinate company secretarial matters, including board meetings, resolutions, annual returns, and statutory filings.
- Support finance system enhancements, process improvements, and internal control initiatives.
- Provide guidance and support to finance team members where required.
- Maintain proper accounting records and ensure documentation is complete and readily retrievable.
Administration & Office Management
- Oversee day-to-day office administration, including procurement of office/pantry supplies, equipment, and vendor management.
- Manage office facilities, maintenance, and liaison with landlords, service providers, and contractors.
- Support HR-related administrative matters, including staff onboarding/offboarding logistics, leave and attendance records, and personnel file maintenance.
- Coordinate work permits, visas, and immigration matters for foreign employees where applicable.
- Manage company insurance policies (office, equipment, employee benefits) and renewals.
- Handle administrative aspects of licensing, permits, and regulatory registrations (e.g., MIDA, MITI, customs, grant-related filings).
- Organize logistics for company events, board meetings, client visits, and industry events.
- Manage courier, travel arrangements, and general correspondence.
- Maintain proper filing systems (physical and digital) for corporate, administrative, and compliance documents.
- Support procurement and vendor contract administration, including basic contract review and renewal tracking.
- Perform any other duties assigned by management from time to time.
What We're Looking For
- Bachelor's Degree/Diploma in Accounting, Finance, Business Administration, or related discipline.
- Professional qualification such as ACCA, CPA, CIMA, MIA, or equivalent is an added advantage.
- Minimum 5 years of relevant working experience in accounting, finance, and/or office administration.
- Experience in full set accounting, financial reporting, audit, taxation, and statutory compliance.
- Knowledge of SST, e-Invoicing, and accounting systems.
- Prior exposure to office administration, HR administration, or facilities management is a strong advantage.
- Proficient in Microsoft Excel and Microsoft Office applications.
- Ability to communicate in Mandarin (spoken and written) will be an added advantage to facilitate communication with Mandarin-speaking stakeholders and review relevant documents where required.
- Strong organizational, analytical, communication, and problem-solving skills.
- Able to work independently, multitask, prioritize competing responsibilities, and meet deadlines.
- Experience in a listed company environment, startup/SME, and handling multiple entities will be an added advantage.
