Job summary

HELP University in Malaysia seeks a dedicated coordinator to oversee student mobility programs, ensuring procedures are followed and data is analysed to measure impact.

You will handle end-to-end logistics—from budget control and venue bookings to transportation, accommodation, and supplier invoicing—while supporting participating students and lecturers.

The role emphasizes reporting, record-keeping, and continuous process improvements to deliver high-quality mobility experiences.

Qualifications

• Prepare budget and ensure expenses stay within proposed budget.
• Take care of student welfare during the mobility programme.
• Arrange airport pickup and drop-off.
• Prepare the itinerary/ timetable/ activities for the mobility programme.
• Source and book accommodation.
• Source and book bus transportation.
• Book and reserve venues for teaching and student activities.
• Order catering for welcome and farewell events.
• Conduct orientation on the first day of all mobility programs.
• Escort participating students on visiting tours and external activities.
• Prepare appointment letters for lecturers assigned to teach or conduct workshops.
• Prepare statements of results and certificates of completion for participating students.
• Prepare/ order teaching materials for participating students.
• Prepare memos for bursary to issue invoices.
• Process and submit invoices from providers (accommodation, catering, transportation, materials, etc.).
• Liaise with HELP students for cultural exchange activities.
• Conduct satisfaction surveys and follow up on below-average items.
• Keep mobility program records and surveys well organized for reporting purposes.

Responsibilities
