Job Brief

This is not a call centre role. You are the bridge between a patient who is nervous, a doctor who is busy, and a clinic team that needs to be ready. If you care about people AND you know how to move them, you might be exactly who we need.

Our Appointment Setters are the heartbeat of the operation. You talk to patients, coordinate with doctors, and keep our partner clinic teams prepared and informed. The role is remote, structured, and built for people who take ownership without being told to.

How It Works

Language

Fluent in Bahasa Malaysia and English — written and spoken. Both must be natural, not translated.

Communication

Strong written communication. Most of this job happens over WhatsApp. Unclear writing loses patient trust instantly.

You must be a genuinely good texter. Dry, cold, or blunt messages — even if technically correct — will cost us patients and damage clinic relationships. How someone feels reading your message is part of the job. Warmth, personality, and emotional awareness must come through in every text, every time.

Tech

• Owns a working laptop or desktop — phone-only candidates cannot manage a pipeline properly
• Stable internet connection at your primary workspace
• Comfortable with WhatsApp Business daily
• Basic experience with any digital tool — CRM, Google Sheets, Notion, booking systems. Anything that shows you manage work digitally, not on paper

Availability

• Available during agreed working hours with consistent response times
• Has a quiet, professional space to communicate from

Experience

• Minimum 1 year in any customer-facing role — clinic, hospitality, retail, aesthetics, telesales, or similar
• Has handled a complaint, objection, or difficult conversation professionally — somewhere, at some point

Clinical Comfort

Comfortable relaying basic dental or medical information between doctors and patients. No medical training needed — but clinical language cannot intimidate you.

What This Role Actually Looks Like Day-to-Day

We want to be upfront with you before you apply. This is a meaningful role — but it is also a demanding one.

First voice patients hear. Many of them are anxious, price-sensitive, or have been let down before. Your job is to make them feel safe enough to take the next step.

Direct liaison with doctors and clinic teams. You coordinate with specialists and admin staff to ensure every appointment is fully briefed and prepared — not just confirmed in a calendar.

Consistent, caring follow-up. Some patients need three touchpoints. Some need seven. You stay with them without being pushy.

Objection handling — with empathy. You will hear concerns about price, fear, and timing regularly. You do not bulldoze. You listen, then you guide.

Tracked performance with regular coaching. We have daily rhythms, weekly check-ins, and coaching sessions. We invest in people who invest in the work.

Remote and self-managed. Nobody will check if you are online. Your results will do that.
