APU in Malaysia seeks an Administrative Executive to provide administrative support to the Student Services & Marketing (SSM) unit, covering student administration and recruitment activities. You will assist with registration, records, events, and liaise with counselors and departments.
The role requires a Diploma or Degree and at least 2 years of related experience, with strong organizational and communication skills. Fresh graduates may be considered. Weekend/PH duties may be required.
The Administrative Executive provides administrative and operational support to the SSM functional unit covering student administration, recruitment activities, documentation and records management and student-facing services. The role works closely with counsellors and relevant departments to support the smooth delivery of student services and recruitment activities.
Perform day-to-day administrative duties related to Student Servicesand provide support to counsellors and other team members.
Support student recruitment and admissions activities, including recruitment events, education fairs, open days and other university recruitment initiatives.
Assist with student registration, arrival procedures and other student-related administrative processes.
Prepare, verify and maintain student records, files and supporting documents, ensuring accuracy, completeness and timely processing in accordance with relevant requirements in timely manner
Undertake counter dutyas scheduled, attending to students’ enquiries and providing assistance on general administrative matters, including invoices, bank letters and other student-related requests.
Ensure student documents and records are properly maintained in accordance with audit and compliance requirements, and assist with internal and external audit activities in a timely manner.
Support and participate in graduation ceremonies, open days, student recruitment events and other university activitiesas required.
Liaise with relevant departments to facilitate the smooth and timely completion of student and recruitment-related matters.
Maintain confidentiality and exercise discretion when handling student information and records.
Perform additional tasks and responsibilities as required by the Department or management.
Diploma or Degree in Business Administration, Management, Education, Marketing or a related discipline.
Minimum 2 years of relevant working experiencein administration, student services, admissions, student recruitment, marketing, customer service or a related field.
Fresh graduates with relevant internship or practical experience may also be considered.
Experience in student recruitment, admissions, international student services, education marketing, visa processing or education fairswill be an added advantage.
Strong administrative and organisational skills, with good attention to detail.
Good communication and interpersonal skills, with the ability to interact confidently and professionally with students, parents and other stakeholders.
Proactive, positive, friendly and customer-oriented, with a willingness to support students and colleagues.
Proficient in Microsoft Officeapplications and able to learn and use relevant administrative systems.
Able to work independently and as part of a team, manage multiple priorities and meet deadlines.
Able to work effectively under pressure, particularly during peak recruitment, intake and student registration periods.
Willing to participate in weekend and public holiday activitieswhen required.
